As the Front Desk Administrator at our client's esteemed luxury design/build firm, you will serve as the ambassador of the company's brand, providing the first impression to both guests and clients.

Responsibilities:

  • Welcome visitors and callers, determine their needs, and guide them appropriately.
  • Always maintain a clean and orderly office environment.
  • Handle the distribution of incoming mail and manage the dispatch and receipt of UPS/FedEx packages.
  • Oversee the functionality of office equipment, schedule repairs as needed, and recommend upgrades or new equipment purchases.
  • Provide administrative support to all team members as needed.
  • Manage the daily scheduling of conference rooms.
  • Coordinate preparations for all office and client meetings.
  • Maintain and organize client and operational files to ensure consistency following standard protocols.
  • Monitor and manage cell phone allocations for all team members.
  • Assist in and/or compose written office correspondence and manage the mailing of all office correspondence and billing to ensure prompt distribution.
  • Keep up with the company’s professional association memberships.
  • Organize and maintain records for offsite storage, including documentation in a master Excel spreadsheet.
  • Collect and document prospective client information, complete the Client Information Sheet, research client backgrounds such as occupation and neighborhood, and appropriately route the paperwork.
  • Execute administrative duties for each project, including filing and managing digital records.

Qualifications:

  • Proficient in all Microsoft Office products including Word, Excel, and Outlook; familiarity with QuickBooks is advantageous.
  • Minimum of a high school diploma required.
  • Excellent communication skills, both verbal and written, along with professional telephone etiquette.
  • At least one to three years of clerical experience.
