ELLIS K-8 is Hiring an Administrative Secretary - Schools Near Savannah, GA

PRIMARY FUNCTION: This position is responsible for assisting and supporting school staff with secretarial and clerical requirements as well as customer service responsibilities, to promote the efficient and effective operation of the school.

REPORTS TO: Principal

SALARY SCHEDULE: G-7

WORK DAYS: 219

REQUIREMENTS:

  1. Education Level: High school diploma

Preferred:

  • Coursework or degree in secretarial science or business
  • Certification as a professional secretary
  1. Experience, Skill, and Certification: 
  • At least three years of experience in a secretarial or high-level clerical role
  • High level of proficiency in word processing, spreadsheet, and other office-related software packages
  • Experience in work environments that include high volumes of telephone calls and walk-in customers
  • Demonstrable skills in both oral and written communications, including the ability to draft correspondence and prepare reports
  • Experience with standard office equipment and procedures
  • Ability to use judgment to make or recommend decisions related to escalation of issues or other related situations based on departmental, school or Board policy

ESSENTIAL DUTIES:

  1. Serves as the “first face and voice” of customer service for the school and, therefore, ensures that telephone calls are answered and routed promptly, and that visitors are greeted, signed-in, and directed to the proper place.
  2. Assists students who arrive late to school, who need to leave early, or who have other needs.
  3. Coordinates work orders for maintenance or other vendors and purchase orders, including approval of the principal and ensuring that work is done or items are received, as well as the maintenance of all paper and electronic records.
  4. Acts as the school timekeeper and ensures accurate entry of employee time based on Board policy as well as maintenance of absence or leave documentation.
  5. Receives and distributes inter-office mail, paychecks, notices, and other information for staff and students.
  6. Assists the principal in monitoring the school budget.
  7. Coordinates the receipt, accounting and deposit of student funds or other activity funds for the school.
  8. Assists with the coordination of various school events or projects such as student registration, fire drills, student pictures, staff evaluations, and other similar events.
  9. Assists the principal and staff by drafting correspondence, gathering data, preparing reports, maintaining files and other support functions.
  10. Performs other duties as necessary for the effectiveness of the school. 

TERMS OF EMPLOYMENTIncumbents will be considered “at will.” Appropriate pay will be determined based on the Grade as determined by Human Resources and allowable experience. The work calendar will be dependent on the school level; either 219 or 229 days. (G-7)
