Position Summary

The Client Support Specialist plays an important role in helping Ellis Porter deliver a remarkable immigration experience to our clients.

We’re looking for a candidate who will leverage their excellent communication skills and positive attitude to make sure that Ellis Porter’s clients always feel welcome and appreciated, and someone who will take pride in going the extra mile to help us exceed their service expectations. The ideal candidate will welcome client service challenges and see them as opportunities to demonstrate Ellis Porter’s professionalism, empathy and commitment to our clients.

We’re looking for someone who will use their organizational skills and attention to detail to provide timely and reliable administrative support to Ellis Porter’s Director of Operations, Case Managers and Attorneys. Someone who is a team player and enjoys the challenge of assisting other Ellis Porter team members with a variety of important legal projects, often times under tight deadlines. Someone who has an attitude of excellence in your work product and strives to be viewed as a go-to person for critical support tasks.

Due to the nature of the role - this position is an in-office role Monday - Friday / 9am - 5pm.

Responsibilities

  • Answer incoming phone calls from new and existing clients; provide general information about Ellis Porter to clients calling the firm (such as office hours, directions, summary of services); take detailed client messages; route client calls and messages to appropriate team members
  • Manage the Reception email inbox, sorting and distributing call messages taken by our third party overflow answering service and doing follow up calls to gather further information when necessary
  • Understand the operation and capabilities of the Ellis Porter phone system
  • Greet anyone who arrives at the Ellis Porter office
  • Coordinate office opening/closing procedures, including unlocking/locking office, and lobby/kitchen set up and clean up
  • Provide administrative support to our Core Services Team in connection with immigration application preparation activities, including printing/copying/scanning documentation for client applications, creating public access files, and preparing labels and envelopes for FedEx and mail packages
  • Provide administrative support to the Director of Operations in connection with office management activities and special projects, including coordinating monitoring office supply and kitchen supply inventories, file archiving, file room organization, kitchen organization, coordinating orders for weekly Ellis Porter team member lunches and special event planning

Requirements

  • High school diploma or equivalent required
  • Minimum 1-2 years of professional work experience (Internships qualify)
  • Excellent communication/people skills and a positive attitude
  • Passion for delivering amazing client service
  • Team player and you treat coworkers with courtesy and respect
  • Takes initiative by proactively managing issues/tasks as they come up 
  • Strong organizational skills and care about getting the details right
  • Professional, reliable, and accountable
  • Proficiency with basic office technology – MS Office suite (Outlook, Word, Excel, PowerPoint, etc.)
  • Belief that immigrants are amazing people who make positive contributions to America’s economy and cultural diversity
