Encircle is Hiring an Assistant Director of Quality Near Roanoke, VA

We are looking for an experienced and dynamic Assistant Director of Quality to join our team.
Reporting to the Director of Quality, the Assistant Director of Quality assists with the planning, organizing, and monitoring of the agency's quality and compliance efforts for licensure, accreditation, regulation, and government agency standards. This position will have a greater focus on our Educational and Foster Care services as well as accreditation.
MINIMUM EDUCATION, TRAINING, REQUIREMENTS AND PREREQUISITES
  • Minimum Bachelor's degree and five years combined human services experience required.
  • Master's degree in Social Work or other Human Services with at least two years of supervisory experience preferred.
  • Demonstrated skill in interpreting regulations and evaluating compliance in agency policies, procedures, and service records.
  • Strong understanding of state licensing, Medicaid regulations, and accreditation standards and processes.
  • Ability to deliver effective, professional presentations.
  • Demonstrates an understanding of agency Guiding Principles, Vision, Mission and Program Model.
  • Ability to work independently with minimal supervision and embrace the spirit of teamwork.
  • Ability to travel to other sites/locations.
  • Ability to utilize MS Office and team a variety of software.
  • Ability to maintain a valid Virginia Driver's License.
SPECIFIC DUTIES AND RESPONSIBILITIES
Essential Functions: May be required to perform any of the following duties:
  • Maintains a working knowledge of licensing and funding regulations in all programs in which enCircle provides services (i.e. Virginia Department of Social Services (VDSS), Department of Behavioral Health and Development Services (DBHDS), Department of Education (DOE), Home and Community Based Services (HCBS) Medicaid, Office of Refugee Resettlement (ORR), and insurance panels).
  • Maintains a working knowledge of accreditations standard for the agency, including Commission on Accreditation of Rehabilitative Facilities (CARF) and Virginia Association of Independent Specialized Education Facilities (VAISEF).
  • Under the direction of the Director of Quality, collaborates with Division Directors to set timeline/expectations for reviewing, writing and maintaining policies/procedures for program areas, as needed. Reviews proposed changes to policies and procedures with individual directors and makes recommendations for changes.
  • Supervises Quality team members as assigned based on role and specialty.
  • Assists with the coordination of Division Directors responsibilities for the writing of reports, assignment of "liaison" and meeting attendance requirements.
  • Assists with the establishment, implementation and maintenance/monitoring of a process for data collection to measure program effectiveness and facilitate program improvements.
  • Provides consultation as needed with Division Directors regarding the process for data tracking to ensure the effective tracking of statistics, performance outcomes, and other information in all sites
  • Assists with overseeing processes that ensure that client records, lists and data are appropriately maintained.
  • Maintains and implements policies and tracking, ensuring that agency files are being reviewed according to the frequency determined for each division.
  • In collaboration with Quality Assurance Specialists, performs periodic site visits to assess the status of charts and records by conducting a review of problematic charts as well as a random sampling of charts.
  • Reviews summary reports of programmatic file reviews and identifies patterns and areas for staff training or policy improvement.
  • Reports results of record reviews to agency management and performs and coordinates follow-up activities to ensure the correction of identified problems and outstanding issues.
  • Oversees in consultation with Division Director the tracking processes for licensure preparation and corrective measures.
  • Assists Division Directors in writing responses to corrective action plans.
  • Identifies in consultation with Division Directors training needs and when needed, trains coaches and works with staff on review of charts, policies and procedures.
  • Assists with the review of policies and procedures for incident reporting, surveys and outcome measurements as requested.
  • Performs other duties as assigned.
