Job Description:

Position Summary

The Parts and Warranty Administrator is responsible for acquiring IT goods and services efficiently, cost-effectively, and in accordance with the organization’s needs and strategic objectives. The Parts and Warranty Administrator will need to assist with developing and implementing sourcing strategies to optimize cost savings and efficiency, conduct regular assessments of vendor performance based on quality, reliability, and cost-effectiveness, negotiate favorable terms and pricing, and evaluate products and services based on feedback from other groups or teams.


Responsibilities

  • Assist in identifying and evaluating IT vendors, negotiating pricing and terms, and establishing and maintaining relationships with suppliers.
  • Conduct regular assessments of vendor performance based on quality, reliability, and cost-effectiveness.
  • Conduct regular audits to ensure accuracy and compliance with organizational policies.
  • Assist in RFPs and RFQs, including evaluation or vendor proposals and quotations.
  • Manage OEM warranty administration for IT equipment, including timely registration of warranties and adherence to warranty terms and conditions. Coordinate warranty claims and repairs with vendors and OEMs.
  • Ensure compliance with OEM (Original Equipment Manufacturer) warranty programs concerning technician certification, part usage, part return, timely warranty closure, and warranty reimbursement.
  • Collaborate with relevant departments to resolve procurement-related challenges.
  • Communicate effectively with internal stakeholders and external vendors. Keep detailed records of communication and process improvement plans.
  • Assist with Asset Management and Inventory Management. This includes traveling to site, picking up products as required, preparing and participating in inventory as required.
  • Other duties as assigned.


Qualifications

  • Associate’s degree in business, Supply Chain Management, Information Technology, or related field or relevant experience in lieu of a degree.
  • Minimum of 3 years of experience in IT procurement or purchasing.
  • Experience with OEM warranty administration, aftermarket parts vendors, and third-party marketplace
  • Strong understanding of IT products, services, and industry trends.
  • Possess strong analytical skills, attention to detail, time management, and decision-making skills.
  • Excellent communication and negotiation skills
  • Attention to detail and accuracy in handling procurement documentation.
  • Ability to work collaboratively with cross-functional teams.
  • Preferred – Certification in procurement or supply chain management.

General Office Environment

Work is generally sedentary in nature but may require standing and walking for up to 15% of the time. Work is generally performed within an office environment, with standard office equipment available.
