JOB DESCRIPTION

Title: Administrative Assistant to the Program Director

Status: Hourly

Reports to: Program Director

Salary: $18 - $24 Commensurate on Experience

Job Summary: Endeavor Therapeutic Horsemanship is seeking a dedicated and organized Administrative Assistant to support the Program Director at Endeavor Therapeutic Horsemanship. The successful candidate will play a vital role in ensuring the smooth operation of our programs, providing administrative support, and facilitating effective communication across the organization.

Introduction: Endeavor Therapeutic Horsemanship Inc.’s mission is to empower individuals with a broad range of needs by providing the highest quality equine-assisted services in an inclusive and welcoming environment. 

Location: 556 Croton Lake Rd Mount Kisco, NY 10549

Employment Type: Part-time with Full-time possibility

Key Responsibilities: 

Daily Administrative Tasks

  • Managing schedules
  • Organizing meetings
  • Handling correspondence
  • Preparing reports
  • Answering phones

Communication

  • Serve as a point of contact for internal and external communications
  • Manage phone calls, emails, and other inquiries

Scheduling and Coordination

  • Coordinate appointments, meetings, and events
  • Prepare agendas, take minutes, and distribute follow-up materials 

Office Management 

  • Maintain organization, office supplies and equipment
  • Maintain accurate records, files, and databases
  • Ensure confidentiality and security of sensitive information

Event Planning/Special Projects

  • Assist in the planning and execution of events, workshops, and fundraisers
  • Coordinate logistics, manage RSVPs, and provide on-site support
  • Provide support on special projects and initiatives as directed by the Program Director and Executive Director

Financial Support: 

  • Assist with basic bookkeeping tasks

Qualification: 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Impeccable organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Detail-oriented with the ability to manage multiple tasks and prioritize effectively
  • Friendly and professional demeanor, with strong interpersonal skills
  • Availability to work occasional evenings and weekends for events and special projects
  • Valid driver’s license and reliable transportation

Education: High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or related field preferred.

Experience: Minimum of 2 years of experience in an administrative support role
