POSITION DESCRIPTION

Energy Infrastructure Partners (EIP) is actively seeking an Administrative Coordinator to support our mission by managing data collection, financial incentive fulfillment, tracking and reporting, coordinating meetings, trainings, special events, and the coordination of special projects. In this role, you will play a pivotal part in advancing our energy efficiency programs by ensuring smooth administrative operations.

OBJECTIVES OF THIS ROLE

Reporting to the Program Manager, the Administrative Coordinator will have a key role in maintaining efficient administrative processes that contribute to EIP's mission. Key objectives include:

  • Office Management: Maintain the day-to-day operations of the office, including supplies, equipment, and facilities.
  • Calendar and Meeting Management: Coordinate schedules, arrange meetings, and manage logistics for client, trade ally, staff, and other meetings.
  • Meeting Coordination: Schedule, coordinate, and prepare materials for meetings, take meeting minutes, and follow up on action items.
  • Data Management:
    • Maintain accurate records of data related to program activities.
    • Manage financial incentive fulfillment processes, ensuring timely and accurate disbursement in cooperation with accounting staff.
    • Perform data entry and quality control (QC) to ensure data accuracy.
    • Produce data files for reporting and analysis purposes.
  • Document Management: Organize and maintain important documents, records, and files, ensuring they are easily accessible and well-organized.
  • Event Planning: Coordinate and plan events, such as trainings, workshops, and seminars, including logistics, content development, and attendee coordination.
  • Project Support: Provide administrative support for ongoing projects, including tracking progress, scheduling meetings, and preparing project-related documents.
  • Correspondence and Communication: Answer and redirect phone calls, respond to general inquiries, and manage email correspondence.
  • Research: Conduct research on various topics, compile information, and prepare reports or summaries.
  • Reporting: Prepare and deliver reports based on research findings.

REQUIRED QUALIFICATIONS

  • Education: Bachelor's degree in a relevant field such as business administration, finance, or environmental studies.
  • Experience: 3 years of experience in administrative roles, preferably in a program management capacity.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to convey complex concepts in a clear and concise manner.
  • Organizational Skills: Strong organizational and project management skills to plan and execute administrative tasks efficiently.
  • Proficiency with Microsoft Office Products: The ideal candidate should possess advanced skills in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Passion: A genuine passion for sustainable practices, environmental justice, community engagement, utility customer participation, and trade ally collaboration.

PREFERRED QUALIFICATIONS

  • Utility or Energy Efficiency Industry Knowledge: Familiarity with the utility industry, commercial and industrial customers, energy management programs, and/or trade ally dynamics.
  • Event Planning: Experience in organizing and executing events, workshops, or educational programs.
  • CRM (Customer Relationship Management) Familiarity: Familiarity with CRM software, such as Salesforce, HubSpot, or similar platforms, is a plus.
