Office Coordinator

ENSPIRE Consulting Group, LLC is a top-tier service provider offering highly experienced consultation support in the areas of education and mental health services across the Tri-State area. This mission-driven organization provides a wide range of services to children, adolescents, families, communities, and institutions who are experiencing challenges related to emotional, academic, and social issues. Our offices are located in Philadelphia and the Flourtown area.

Job Summary:

Enspire is currently in search of an Office Coordinator to oversee the daily operations and general administrative functions of both the Philadelphia and Flourtown offices. The incumbent will be tasked with ensuring the smooth operation of the offices and providing essential support to client teams. The role necessitates expertise in office operations and administrative support, and encompasses a variety of crucial day-to-day responsibilities. It is imperative for the Office Coordinator to be physically present in the office for 40 hours per week, Monday through Friday.

Essential Functions

  • Perform and supervise all office duties at the Philadelphia location and collaborate with other Enspire brick and mortar offices to provide support.
  • Welcome and assist patients in a courteous and professional manner.
  • Handle incoming phone calls, address inquiries, and oversee the clinic's phone systems.
  • Coordinate with the staff to ensure seamless patient care and student needs.
  • Supervise administrative tasks related to front desk operations.
  • Manage calendars and listservs.
  • Carry out routine updates to websites and social media.
  • Schedule internal and external team meetings.
  • Provide support to all departments, including education and mental health, as needed.
  • Manage and maintain company-related spreadsheets.
  • Monitor services with partnering agencies and schools.

Physical/Environmental:

● Ability to physically perform the essential duties of the role as required, and to work in the environmental conditions required, such as: traveling to network campuses; maneuvering in office spaces (including standing, walking, sitting for long periods of time, speaking loudly and clearly, seeing and hearing things both near and far away); stooping, kneeling, reaching file cabinets/shelves; fine finger and hand manipulation in use of computer, chalkboard, dry erase, &/or projectors; filing, faxing, scanning, coping, typing, mailing, and making phone calls; sitting for up to two (2) hours looking at a computer monitor, using a keyboard/mouse, and typing.

● Access to reliable transportation

● Work during the hours of 9-5, Monday through Friday.

Qualifications:

  • Associate's degree. Bachelor's degree preferred but not required.
  • 3 to 5 years’ experience as an Office Coordinator successfully managing similar responsibilities as those listed.
  • Administrative Assistant experience.
  • Relevant experience in education, mental health and administrative work.
  • Extensive knowledge of office management procedures.
  • Proficient with Microsoft Office Suite
  • Excellent interpersonal and customer service skills.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to work collaboratively with a diverse group of stakeholders.
  • Strong analytical and problem-solving skills are required.
  • Ability to work independently and make sound decisions.
