Company Description:
We are a private real estate lender which provides investors, property owners, developers, and builders with fast, streamlined access to the capital they need to advance their real estate projects. Located in Carlsbad, CA our company is known for its creativity, flexibility, and knowledge of real estate and lending environments throughout the Western United States.
We are currently looking to add an Administrative Assistant to our team. The ideal candidate will provide office support services by maintaining an organized and efficient office workflow that allows staff to focus on the core revenue-generating activities. The right candidate will have the ability to find and develop improvements to productivity, and predict and prevent situations that would divert staff from achieving organizational goals.
Job Roles and Duties:
The Administrative Assistant is responsible for assisting with the daily needs and operations of the Company that may include, but is not limited :
· General Office Duties - ordering office supplies, processing incoming and outgoing mail, maintaining schedules, arranging travel, filing, responding to basic client inquiries, processing expense reports, and other general office duties.
· Digital File Storage Management- Organizing of DropBox, templates for new Files and File Name Specifications.
· SOP Management and Maintenance – Organization/standardization, and input into Operations Manual.
· Compliance Support Administration- compliance audits, federal form filings, NMLS quarterly & MCR reports and renewals, CFL annual report, CA SOS filings
· Loan Coordination and Support- Open escrow and title, order credit checks, coordinate legal document requests, review settlement statements, perform initial reviews of loan draw materials and fund control set-up, review Zoho system and make entries, loan onboarding.
· Marketing Administration- Coordinate social media and marketing activities, perform preliminary review of marketing material, assist with Zoho marketing campaigns, enter Investor Newsletter data, preliminary review of Newsletter.
· Client Relations- Manage investor and borrower gifts, thank you cards, holiday cards.
· Carry out tasks associated with projects assigned from various staff members ensuring that the work is accurate and deadlines are met.
· Organize documents to ensure staff is well prepared for meetings.
· Local travel during work hours to follow through on tasks associated with job description (post office, office supply store, etc.)
· Perform personal tasks that free up time for the company President (errands, arranging travel, shopping, scheduling events, etc.)
· Contributes to team effort by accomplishing related results as needed.
· Other tasks as needed for the successful management of the Company.
Skills/Qualifications/Requirements:
· The successful candidate will be a problem solver, a good communicator, show attention to detail, have the ability to predict next steps, and maintain an organized system that assures all work is complete on time.
· Typing, math and critical thinking, accurate spelling and grammar, strong organizational skills.
· Computer literacy working knowledge of Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
· Demonstrated results from social media marketing activities.
· Prior experience with real estate, loan servicing and event planning are encouraged.
· Ability to work in the Carlsbad office
· CA Drivers License

Pay: $21.00 - $23.00 per hour
