JOB OVERVIEW:

The Accounting/Billing Specialist will be primarily responsible for managing billing, invoicing, and accounting for a fast-paced entertainment insurance team in Austin, TX. This role partners closely with our corporate Accounting / Finance Department to make sure all accounting-related matters for the insurance team are properly handled in an expedient manner. This role will also have some additional administrative responsibilities for the insurance team, including (but not limited to) managing office supply inventories, assisting with team expense reimbursements, and assisting with other administrative needs as they arise.

WHAT WE’RE LOOKING FOR:

  • Experience working in accounting role, performing accounts payable, accounts receivable, reconciliations, and other standard accounting functions (at least 3 years’ of experience is required).
  • Curiosity and an eagerness to learn! Insurance industry experience is nice to have but not required. The team can teach the important aspects of the industry, but ideal candidates will love learning, be a self-starter & enjoy variety in their work.
  • Candidates with strong, professional communication skills – both written and verbal. Ideal candidates can successfully pivot between providing detailed and accurate written communication, as well as picking up the phone and having a detailed verbal conversation.
  • High attention to detail, and the ability to learn and understand software systems quickly (strong Excel skills are preferred).
  • Candidates who adapt well to priority changes, deadlines, and consistently are quick to respond to and/or acknowledge communications (both from internal & external sources).
  • Positive and outgoing disposition, eager to work as a team but also functions well working independently.
  • Candidates able to work full-time in our Austin, TX office – 5 days a week (Monday – Friday), from 9am-6pm CST.

WHAT YOU’LL DO:

A detailed list of job duties include (but are not limited to):

  • Prepare and process client invoices and review for accuracy
  • Enter invoice data into Sagitta, and send all supporting documentation to the corporate accounting department
  • Prepare and generate regularly scheduled reports (Surplus Lines, AR, Production)
  • Coordinate all required documentation for surplus line compliance for non-admitted placements.
  • Follow up with account team members as necessary to complete necessary compliance documentation (e.g., declinations, affidavits)
  • Manage A/R and A/P process in partnership with Corporate Accounting and Account Teams. Serve as liaison between them to resolve errors and issues in a timely manner.
  • Liaise with company’s finance teams to address and resolve accounting discrepancies
  • Scan and deposit checks

Other administrative duties may include but are not limited to:

  • Maintain inventory and order office supplies
  • Book travel arrangements
  • Submit expense reports for Managing Principal
  • Receive, sort and distribute mail

WHAT YOU’LL BRING:

  • 3 years accounting and billing experience (A/P and A/R)
  • Prior employment experience in legal, mortgage, insurance or financial services industry preferred but not required
  • Proficient with MS Word, Excel and Outlook
  • Excellent communication skills with clients during the sales and/or service processes
  • Ability to multi-task and be well organized; prioritize multiple projects
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. The position continually requires teamwork, responsiveness, demonstrated poise, tact, and diplomacy
  • Demonstrates strong time-management, planning and problem-solving skills. 
  • Projects a positive image of the organization to employees, customers, industry, and community
  • Ability to interact with others effectively utilizing good communication skills, cooperating purposefully, and providing information and guidance as needed.
  • Able to analyze situations logically to draw solid conclusions, recognize problems and respond appropriately.
  • Ability to work effectively and efficiently both with and without direct supervision.
  • Ability to work effectively and efficiently in a team environment as well as independently.

COMPENSATION:

The base pay offered will be determined based on your experience, skills, training, certifications and education, while also considering internal equity and market data.
