Office/Program Manager - Position Description
Position Title: Program Manager Reports to: Executive Director
Status: Full-Time Location: Sarasota
Salary Range: $24-$28/Hour
Position Summary: The Program Manager is responsible for a range of administrative, financial, managerial tasks, and assists the Executive Director when needed.
Duties and Responsibilities:
· Responsible for opening and closing of office.
· Greet visitors.
· Verify operation of daily systems.
· Manage office and bathroom supplies and cleanliness.
· Manage incoming calls and assist client and staff requests.
· Collect and handle incoming mail and invoices.
· Tracking and mailing checks.
· Assist Executive Director to ensure all finance operations.
· Manage master calendar and meeting updates to all staff and board members when necessary.
· Assist Executive Director and Board Treasurer in updating policies, procedures, and staffing updates when necessary.
· Coordinates the Outreach Activities for staff required by the DOH program.
· Perform Outreach Activities in our community.
· Assist Executive Director in grant management including filing, contact lists, application and report deadlines, and managing software and updates.
· Track client successes from Case Managers for reporting.
· Manage client text messaging software.
· Assist Executive Director with onboarding and offboarding of employees.
· Manage vendor account files with updates to Executive Director.
· Management of internal listing of software, website portals, and passwords.
· Assist with PowerPoint presentations.
· Assist with IT updates, changes, and troubleshooting.
· Assist with website and social media updates.
· Assist with client surveys for yearly reporting and make calls when necessary.
· Preparation for board meetings collating and disseminating information.
· Document online training for case management and other related topics for staff.
· Assist Executive Director in preparing for site visits from DOH, grantors, or other epilepsy programs.
· Assist Executive Director and CPA for audit.
· Yearly set up of new vendor files.
· Yearly set up of grant timeline.
Qualifications:
· Proficient in Microsoft Office Suite
· Proficient in database management and web-based applications
· Excellent communication skills
· Self-starter and strong organizational skills
· Bi-lingual—a plus
Job Type: Full-time
Expected hours: 30 per week
Schedule: Monday-Thursday 8:30am-4:30pm
