CHURCH ADMINISTRATIVE ASSISTANT
EPWORTH UNITED METHODIST CHURCH
Hours: Monday through Friday, 10:00 a.m. until 3:00 p.m.
Wage: $15.45/hour, 25 hours per week
POSITION DESCRIPTION:
The Administrative Assistant provides administrative, clerical, and communications support to Epworth United Methodist Church. The Administrative Assistant is responsible for managing the church office, which includes (but is not limited to): preparing/posting print and electronic media; answering the telephone; greeting visitors during business hours; and maintaining records and preparing reports for the congregation, the Baltimore-Washington Conference, and The United Methodist Church.
In many situations, the Administrative Assistant is the first contact many people have with the congregation, and the first point of contact for members of the congregation contacting the pastor or office. As such, the Administrative Assistant is expected to be flexible, congenial, and reflect the nature of the church as an open and caring place. Since many persons come to the church at times of personal or family crisis, the Administrative Assistant is expected to maintain confidentiality in all matters.
Qualifications:
High School diploma or equivalent
Three year’s administrative assistant experience, or certificate of course completion in office management, preferred
Strong interpersonal and cross-cultural skills
Excellent telephone etiquette
Proficiency in Microsoft Office, Publisher, PowerPoint, and Excel
Proficiency (or willingness to learn) Pro Presenter, OneDrive, and SharePoint
Excellent organizational skills, and ability to work with church volunteers, willingness to accept direction from the pastor/SPRC, the ability to initiate and follow through assignments in the pastor’s absence
Familiarity with (or willingness to learn) The United Methodist Church administrative structure and liturgical year
Attention to detail; punctuality in meeting deadlines
The ability to work in a busy office with many distractions
A willingness to learn the Arena (or current) System of The Baltimore-Washington Conference of The United Methodist Church for electronic submission of conference reports (e.g., statistical reports, Charge Conference, evaluations, etc.)
Responsibilities:
Management of the church office:
Maintain inventory of supplies
Order materials/supplies for office and church groups when requested
Maintain file systems (both paper and electronic)
Manage the church calendar (paper and electronic): scheduling meetings, events, and room assignments; coordinate/communicate building access with the trustees
Create a list of daily, weekly, and monthly procedures
Date and distribute mail to the appropriate persons/committees
Update voice mail outgoing message as appropriate
Communications/Publications
Prepare/distribute weekly (and special service) bulletins in consultation with the pastor
Distribute weekly bulletin to liturgist, musicians, tech crew, other Sunday morning volunteers
Prepare, publish, and distribute newsletter (and coordinate contributors and volunteers for assistance)
Update the church website and Facebook
Prepare and mail/email/text reminders for scheduled meetings, ministry events, volunteers, etc.
Coordinate and order Christmas and Easter flowers
Maintain bulletin board outside church office
Mail welcome letters to first-time visitors in coordination with membership secretary and pastor
Maintain Membership Records in Coordination with the Membership Secretary
Prepare and mail certificates of transfer as necessary
Prepare baptism, confirmation, and new member certificates as needed
Accountability:
The Administrative Assistant is supervised by and reports to the pastor on behalf of the Staff-Parish Relations Committee (SPRC). In addition, a member of the SPRC will be assigned to the Administrative Assistant as liaison for the SPRC. At any time, the Administrative Assistant may request a meeting with the full SPRC.
Performance evaluations and salary review will be conducted annually by the pastor and SPRC with input from the Administrative Assistant.
Position Schedule:
The Administrative Assistant will be hired on a six-month trial basis with evaluations at three and six months.
New Year’s Day, Easter Monday, Thanksgiving (and the following Friday), and Christmas are considered paid holidays when they fall on regular business days. In addition, Federal holidays (MLK, Presidents Day, Memorial Day, Juneteenth, Independence Day, and Labor Day) are considered paid holidays.
