Job DescriptionManage all costs for purchasing, office supplies, maintenance and repair, service calls, etc.
  • Maintain inventory, control vendor costs, coordinate shredding service.
  • Secure P Card and complete monthly P-Card reconciliation.
  • Maintain payroll time sheets and attendance records for all employees.
  • Ensure that all payables are coded and vouchered in a timely manner.
  • Assist Project Director with budget forecasts, weekly PTS, quarterly MBE reporting, and audit preparation.
  • Complete monthly reconciliation of consultant bills.
Verify monthly outgoing invoice to PA Dept. of Public Welfare and
confirm receipt in Harrisburg within 2 days for payment processing.
  • Maintain accuracy and data integrity in ARG-PA and ARG-CO programs and database, through daily activity, monthly invoice and monthly billing of consultants.
  • Pickup incoming mail daily and transport medical records to/from
consultants and adhere to ResCare safe driver standards.
  • Work with Project Accountant budget and cost control measures.
  • Manage overall daily operations of office efficiently and effectively.
Maintains office staff by recruiting, selecting, orienting, and training employees.
  • Maintain wages/overtime/temp staff in line with approved operational budgets.
  • Ensure that new employee RPM’s be completed within 30 days of start date.
  • Ensure that all HR documentation is completed in a timely manner and confidentially filed.
  • Maintain staff turnover at 35% or less.
  • Meet with staff weekly to discuss goals and/or concerns.
  • Provide timely coaching, identify successes and areas for improvement.
  • Delegate tasks or responsibilities for the purpose of developing others abilities.
  • Set appropriate performance goals for staff.
  • Develop and maintain good working relationships with co-workers, consultants, vendors, landlord, computer tech and repair/service personnel.
Keep Arbor/ETSF/ResCare’s vision, values and mission at the forefront of decision making and action.
  • Assure that the ResCare Quality way is administered and followed.
  • Ensure all staff follows HIPAA policies and procedures in handling of client information.
  • Completes required Rescare training and ensures that entire staff completes all required training and docs are submitted on time.
  • Adhere to ARG's office policies and procedures.
  • Coordinate on-site and off-site record destruction per contract req.
Maintain excellent attendance per ARG's attendance/occurrence policy
  • Arrive at work on time and follow scheduled work hours.
  • Maintain professional and respectful relations with others.
  • Effectively utilizes time.
  • Cooperates and is willing to assist others, accepts direction from supervisor..
  • Flexible, adjusts workload to accommodate changes in priorities/work done.
  • Complete other duties as assigned by Project Director.
Qualifications
  • Bachelor's degree in business, management or human services related field from an accredited university or college, or equivalent work experience preferred.
  • 2 to 3 years' experience in disability to work
  • 3 years of supervisory experience or equivalent combination of education and experience.
  • Excellent communication and interpersonal skills, strong management and organizational skills, and the ability to work across all levels of management and staff.
  • This is considered a driving position and as such your driver's license must be in good standing and you must have proof of valid automobile insurance.
