GENERAL SUMMARY

Serves as lending support staff for the Record Services department. Responsible for the preparation of loan documents for scanning and indexing in order to be viewed and retrieved in EFCU’s OTG system.

ESSENTIAL FUNCTIONS

• Prepare loan documents and support loan documents for scanning and indexing in OTG on a daily basis providing clear images for viewing and retrieval.
• Responsible for lending services file room operation and organization of paper loan documents from loan origination to loan payoff, including filing and pulling the original note.
• Responsible for ensuring compliance with retention of loan documents.
• Perform basic maintenance on scanning equipment which includes cleaning, refilling paper supply and replacing rollers to secure top quality of imagery.

In instances where trouble shooting cannot be completed by the Records Specialist, the IT department is to be notified.

• Track scanned jobs to ensure all new loan documents are properly imaged in OTG in conjunction with the daily new loan report.
• Assist coworkers with inquiries regarding imaging as well as provide coworkers paper documents from lending file room when requested and tracking of the same.
• Ensure satisfaction of flood certificates on in-house mortgage loans.
• File and update lists for business loans as well as furnish documents to auditors as needed.
• Pull closed Midwest files for retention.
• Monitor new loan report and contact Lending QC Coordinator for missing documents.
• File First Front Door files and supplemental mortgage documents after mortgage closing; ensuring all documents are stored in a secured file area until repayment.
• Work daily closed loan reports to ensure satisfaction of liens and retention.
• File PHFA files and maintain for retention.
• Backup to all Records Specialist duties.
• Monitor Service Members Civil Relief Act and notify Member Service Officers of disclosure timing.
• Maintain current knowledge of all Credit Union policies and procedures, including compliance with federal laws and regulations as set forth by the NCUA and other regulations.

• Requires ability to communicate clearly both orally and in writing.
• Requires completion of high school education.
• Sound judgment to identify and report problems to supervisor and contribute to resolving the problem if requested by supervisor.
• Must be able to work independently, multitask and pay attention to detail on a daily basis.
• Requires PC proficiency and knowledge of Office Suite.
• Intermediate mathematical skills required.
