ERSG is Hiring a Document Controller Near Virginia, VA

ERSG is currently looking for a Document Controller to support the offshore wind industry.

Summary The Document Controller is tasked with coordinating, implementing, and maintaining the company's Document Control and Training System. This role involves managing labeling activities through change management, working closely with project managers and suppliers to ensure quality standards and deadlines are met. Adhering strictly to established procedures and policies is essential to meet the requirements of document control in a regulated engineering environment.

Job Duties

  • Overall coordination of controlled documentation within the company, provided by vendors, relevant parties, and system engineers.
  • Managing documentation and document control functions through the company's validated internal documentation system.
  • Supporting the procurement and provision of external standards, business regulations, and client recommendations.

Responsibilities and Duties

  • Coordinating and chairing Change Control Board meetings.
  • Assisting with external audits, coordinating activities related to engineering documentation, and ensuring timely responses to auditor documentation requests.
  • Supporting user requests for documentation and providing basic training on the company's internal documentation system.
  • Managing the change process for labeling and ensuring accurate completion of labeling verification forms.
  • Performing self-audits of satellite locations to ensure current revisions are available in a timely manner.
  • Administering the training system within the company's documentation system, including setting up users as required.
  • Maintaining quality records in accordance with applicable Standard Operating Procedures (SOPs).
  • Investigating and responding to corrective actions related to Document Control, Training, and External Standards.
  • Coordinating document change orders (DCOs) and facilitating the review, approval, and retention of related system and project documentation.
  • Performing other duties as assigned by the Project Manager.

Planning

  • Reviewing client specifications for adherence to capabilities and providing guidance as needed.
  • Offering production alternatives when necessary.
  • Supporting the creation of timelines and schedules and presenting them to the Project Manager.
  • Keeping all system schedules updated with actual completion dates for tasks.
  • Participating in conference calls with the Project Manager as needed and providing minutes of the call/meeting as follow-up with the Project Manager, Commissioning Manager, and relevant parties.
  • Ensuring all regulatory requirements and processes are met for all projects, including regulatory review cycles.
  • Developing and maintaining necessary records and files for efficient operation and progress.

Procedures

  • Following standard practices and reporting models, with an awareness of the need for continuous improvement.
  • Creating system scopes for individual projects and supporting complex system requirements.

Vendors

  • Conducting or supporting regular meetings with the Project Manager and/or vendors as needed.
  • Continuously monitoring and suggesting improvements to operational and systems workflows to interface with vendors.

Administration

  • Supporting the project portfolio for systems by collating design, delivery, manuals, and internal evaluations of vendors.
  • Filing system jobs upon project completion, including reports, correspondence, and documentation for the Project Manager.
