Strategic Importance of this Role 

The sustained success of any world-class manufacturing operation relies on the effective establishment, execution, and ongoing maintenance of streamlined Planning, Scheduling, and Execution within Materials Management. At the heart of this strategic framework is the Materials Coordinator, a key player in the accurate management of inventory. 

The Materials Coordinator assumes a critical role in supporting the Procurement Team in India and manages the purchasing of essential supplies for office, shop, and shipping. Central to this function is the adeptness in making economically sound decisions for the company. This involves a comprehensive evaluation of factors such as inventory carrying costs, warehousing costs, volume price breaks, transportation costs, plant handling costs, market projections, and the availability of plant assets. 

In addition to procurement expertise, the Materials Coordinator oversees the Cycle Counting program, ensuring accurate and efficient monitoring of inventory levels. Simultaneously, they take charge of coordinating shipping and receiving activities, contributing to the seamless flow of materials within the operation. 

The role extends beyond these responsibilities to include supervision of the Material Handling Team, with a focus on delivering exceptional customer service to internal stakeholders. The Materials Coordinator's multifaceted responsibilities and strategic decision-making play a pivotal role in the long-term prosperity and competitive edge of the manufacturing operation. 

Essential Duties and Responsibilities and Leadership Competencies

Cycle Counting

  • Develops standardized policies and procedures for conducting cycle counts. Ensures that all team members involved are familiar with and adhere to these guidelines. 
  • Regularly audits and validates data accuracy in Global Shop to ensure that cycle counting is based on reliable information. 
  • Maintains documentation of cycle counting activities, including count results, discrepancies, and any corrective actions taken. This documentation is crucial for audits and continuous improvement. 
  • Investigates and analyzes the root causes of discrepancies identified during cycle counts. 
  • Fosters collaboration between Production, Materials management, and Accounting to enhance the accuracy of cycle counting and resolve discrepancies effectively. 
  • Provides training to personnel involved in cycle counting to ensure they understand the importance of their role, follow established procedures. 
  • Establishes key performance indicators (KPIs) to measure the effectiveness of the cycle counting program. Monitors metrics such as accuracy rates, cycle count frequency compliance, and root cause analysis resolution times. 
  • Regularly reviews the cycle counting process and identifies opportunities for improvement. Encourages feedback from team members involved in the process to refine procedures over time. 
  • Maintains open communication channels between departments to promptly address any issues that arise during the cycle counting process. 

 Procurement 

  • Conducts evaluations of raw material pricing to ensure competitiveness and alignment with budgetary constraints. Collaborates with suppliers to negotiate favorable terms and conditions while maintaining product quality standards. 
  • Works closely with suppliers to establish and enforce delivery schedules that align with production requirements. Proactively addresses any potential delays, collaborating with logistics and production teams to maintain a seamless flow in the supply chain. 
  • Implements checks and controls to verify the accuracy of material prices at the point of delivery. This includes confirming that invoiced prices match agreed-upon rates. 
  • Ensures Data Integrity in Global Shop. 
  • Develops and maintains a schedule for material deliveries, optimizing the efficiency of the supply chain. Ensures timely and accurate recording of received materials in Global Shop, facilitating real-time visibility into inventory levels and supporting informed decision-making. 
  • Cultivates relationships with key suppliers, fostering open communication and collaboration. Regularly assesses supplier performance, addresses issues promptly, and works collaboratively to implement continuous improvement initiatives. 
  • Identifies and implements cost-saving opportunities without compromising quality. Explores alternative sourcing options, negotiates purchase discounts, and stays informed about market trends to capitalize on favorable conditions. 
  • Fosters a culture of continuous improvement within the team. Encourages feedback, analyzes performance metrics, and implements process enhancements to optimize efficiency and effectiveness. 

Supervising Material Handling Team

  • Establishes and enforces safety guidelines and procedures to ensure a safe working environment. Regularly conducts safety audits and collaborates with the safety team to address and mitigate potential hazards. 
  • Facilitates thorough training programs for team members covering material handling techniques, safety protocols, and the proper operation of equipment. Emphasizes the importance of ongoing education to enhance skills and maintain a high level of competence. 
  • Fosters a culture of continuous learning within the team by providing access to relevant training resources and industry updates. Supports cross-training. 
  • Conducts regular assessments of material handling processes to identify areas for improvement. Implements changes and optimizations to minimize delays, enhance efficiency, and streamline workflows. Fosters a proactive approach to problem-solving within the team. 
  • Champions a lean culture within the material handling team by driving continuous improvement initiatives. Encourages participation in 2 Second Lean initiatives, to eliminate waste and optimize processes. 
  • Actively engages the team in identifying opportunities for efficiency gains and waste reduction. Encourages the implementation of 5S, to organize workspaces and improve overall operational effectiveness. 
  • Establishes performance metrics aligned with efficiency, safety, and quality standards. Regularly monitors and communicates key performance indicators, providing constructive feedback to the team and recognizing achievements. 
  • Fosters a collaborative and supportive team environment. Encourages open communication and feedback to address challenges promptly and implement collaborative problem-solving approaches. 

 Shipping 

  • Oversees logistics process to ensure the timely and efficient shipment of products to both customers and external vendors.
  • Enforces attention to detail in all shipping documentation.
  • Implements quality control measures to verify the accuracy of packing slips. Confirms that the items shipped match the information on packing slips, reducing the risk of errors, and enhancing customer satisfaction. 
  • Ensures compliance with Advanced Shipping Notice requirements. Provides timely and accurate ASNs to customers. 
  • Fosters a culture of continuous improvement within the shipping department. Regularly assesses and refines shipping processes to enhance efficiency, reduce errors, and streamline workflows. 
  • Maintains open communication and collaboration with the Customer Experience team. Addresses customer inquiries and concerns related to shipping promptly, providing accurate and timely information to enhance overall customer satisfaction. 
  • Identifies and mitigates potential risks in the shipping process, such as delays, damages, or loss. Implements proactive measures to address these risks and develop contingency plans for unforeseen challenges. 
  • Prioritizes customer satisfaction by ensuring that products are delivered on time and in the expected condition. Uses CCPM data to review customer input and continuously improve the shipping experience.

Qualifications 

Education & Experience:

Bachelor’s degree in supply chain or logistics and 3-5 years of experience in production planning or operations management in a manufacturing environment, or equivalent combination of education and experience. American Production and Inventory Control Society (APICS) certification in Production and Inventory Management (CPIM) strongly preferred.

Tech Skills:

Advanced computer skills. Proficient in Microsoft Outlook, Word, Excel, and PowerPoint and Database systems.

Other Skills:

Language: Ability to read and interpret complex documents such as financial statements, contracts, and procedure manuals. Possesses high level business writing skills. Ability to speak effectively before groups of customers or associates of ESP. 

Quantitative: Ability to work with mathematical concepts such as probability and statistics. Ability to apply concepts such as fractions, percentages, ratios, graphs, and proportions to practical situations.

Critical Thinking: Able to display high level reasoning skills to solve multiple, complex situations.
