Job Summary: Administrative Assistant/Admissions Coordinator handles routine and advanced duties of the office, provides support to administration and staff, and coordinates all enrollment procedures.

Primary Duties and Responsibilities:

  • Coordinate enrollment and re-enrollment procedures (inquiries, campus tours, applications, financial aid applications – FACTS)
  • Prepare, administer, evaluate and record TABE Locator and tests
  • Answer multiple line phone, take message, translate Spanish calls
  • Translate for Spanish speaking parents in meetings/conferences, etc.
  • Help prepare and maintain new and current student files
  • Assist in collection and receipting tuition and any other revenue
  • Assist with follow up of students and parents on tuition/fees
  • Prepare daily deposits
  • Help with Monthly Bank Reconciliation (operating, savings and special)
  • Mail Progress Report/Report Card
  • Maintain and replenish office supplies and forms including applications, brochures, sign in sheets, etc.
  • Create student IDs
  • Assist development department with mailings and other projects
  • Provide sign in sheets for all student activities and volunteers
  • Assist in tardy sign-in and early dismissals
  • Assist in calling parents/guardians when students are absent
  • Inform teachers, counselors and administration of extended student illness and chronic absenteeism or tardiness to school.
  • Facilitate book and laptop checkouts and returns
  • Help maintain correspondence for president and principal, perform related duties as necessary
  • Assist principal/president as needed
  • Maintain procedure manuals for all departments
  • Assist the Development Director with mailings and other projects
  • Maintain accurate and current master student class schedule and individual teacher class schedules and database

Minimum Qualifications:

  • Must be bilingual in English and Spanish
  • Proficiency in work processing and ability to learn and use a variety of personal computer software (Microsoft Office, Excel, Desktop Publishing)
  • Demonstrated ability to communicate effectively and positively with prospective families, staff, administration, and other individuals in either individual or group settings
  • Ability to multitask

Working Conditions:

Conditions are those of a typical office environment, requiring frequent oral communication with families, the ability to enter data and written communication in electronic format in a timely manner, and sufficient mobility to be present and address students, their parents, and colleagues.
