Exceptional Admins, LLC is Hiring an Executive Assistant Near Denver, CO

Exceptional Admins, LLC (EA) is seeking a professional for an opportunity with a confidential firm, in the Energy (Power) space, located in Downtown Denver.

EA is a boutique company that solely focuses on placing for the Administrative profession. The philosophy behind the EA process is to deliver exceptional admins to each client with the outcome producing high-level support to the role and organization. While skill-set is a large focus during the process, personality and charisma of each candidate are viewed just as important.

About the CEO/Executive and Company

Each day, the CEO presses forward working hard to fulfill the mission of the company. His responsibilities as the CEO extend far and wide making no two days alike. The executive brings strategic thinking to each demand while constantly leveraging high bandwidth energy. The executive, a former Navy Commander, is concise, thorough, and forward-thinking.

Hiring Goal

The executive seeks a professional who is well-versed in being nimble and proactive. The right candidate is comfortable with focusing on heavy admin responsibilities first, before moving into strategic work. You’ll be balancing multiple tasks for the executive alongside your own responsibilities. The Executive Assistant role will work very closely with the CEO, acting as a conduit to other executive employees and outside stakeholders.

ROLE OVERVIEW

Executive Support – CEO – 80 %

Administrative Support

  • Heavy calendar coordination
  • Contact database management
  • High volume email support in sync with requests (currently, only he oversees his email)
  • Weekly, domestic travel coordination
  • Support scheduling and agenda creation for meetings, both internal and external
  • Support both legal and financial activities (i.e., assembling highly confidential documents for review and execution)

Tactical Support

  • Streamline and manage to-dos to meet deadlines; be a highly informed partner
  • Manage follow-up needs and fulfillment obligations post-meetings
  • Manage and support paper transactions, both soft and hard copies, pertaining to transactions, strategy documents, and the like
  • Energy manager, i.e., help executive optimize time when ad-hoc demands surface
  • Support executive with external board and civic positions (i.e., calendaring, logistics, presentation needs, speaking engagements, etc.)
  • Support Investor Relations activities (e.g., help with organizing decks, hosting, travel, and scheduling)
  • Cover hospitality needs to deepen relationships (i.e., thank you notes, gifts, etc.)
  • Be technically savvy, resourceful, and industrious (i.e., find ways to consolidate responsibilities with intuitive technology resources)

Other Support – 20 %

  • Support light office demands; no you are not the Office Manager
  • Chief Culture Officer hat (e.g., arrange team building, acknowledge team birthdays, etc.)
  • Minimal back up to CAO

Desired background and attributes

Candidates will be considered in totality of their skills and experience versus strict interpretation of “must haves.”

  • Your toolbox has 75% of the skills needed to hit the ground running
  • Experience working in a high-functioning support role working alongside swift moving executives/professionals
  • Investment space, a plus
  • Energy space experience, a plus
  • Entrepreneurial office culture, a plus
  • Proficient with Microsoft Office Suite (Word, Excel, OneNote)
  • Be Apple savvy
  • Slack knowledgeable
  • Ability to work independently with little supervision; water cooler talk isn’t your thing
  • Nimble, adaptable, charismatic, and entrepreneurial mindset, a big plus

Company Offerings

  • Salary: $85k and $135k up
  • Hours: Full-time, in the Denver office with an option to work from home on Fridays. Job may require you to perform some work during weekends
  • 401(k)/Profit sharing: Eligible to participate 30 days after the date of hire. Eligible for employee match after 1st year anniversary up to 4%.
