Overview:

CAMRIS International, LLC. (CAMRIS) is seeking an EXECUTIVE ASSISTANT to support USAID POWER AFRICA .

This position will perform work under the Africa Bureau Institutional Support and Services II contract (AFR ITSS II). AFR ITSS II assists USAID in achieving its program priorities by providing contracted technical, professional, operational, and administrative support staff in support of USAIDs African programs on both short- and long-term bases. Work performed under this contract will cover a range of technical and administrative areas aimed at advancing USAIDs development objectives in sub-Saharan Africa.

BACKGROUND:

Launched in 2013, Power Africa is a Presidential, whole-of-government initiative coordinated by USAID, focused on bridging the gap between Africas power shortage and its economic potential by working with other U.S. Government agencies, African Governments, NGOs, and the private sector to take the steps needed to substantially expand power generation, transmission and access in sub-Saharan Africa. The Power Africa Coordinators Office (PACO) sits within the Agencys Africa Bureau and accomplishes its objectives through promoting investment in energy projects, leveraging public and private sector financing facilities, strengthening capacity, improving management, providing critical technical assistance and supporting necessary policy and regulatory reform efforts.

PACO is seeking an Executive Assistant to provide administrative and logistical support and expertise. The Executive Assistant directly supports the Coordinator Office leadership, performing a variety of routine and complex administrative and analytical duties. The Executive Assistant must be comfortable managing multiple, competing tasks and performing these duties in a fast-paced environment under pressure for multiple principals within PACO. The position will be in Washington, D.C. with the expectation of 5 days in the office per week.

Responsibilities:

As an Executive Assistant, you will directly support the Power Africa Coordinator and the Washington, DC-based Power Africa Deputy Coordinator. Tasks and responsibilities include:

  • Coordinate with senior officials from USAID and other agencies, senior officials from other countries and multilateral organizations, and senior corporate officials in arranging meetings, correspondence and other forms of engagement.
  • Provide administrative and office support for the Power Africa Coordinator and Washington, DC-Based Deputy Coordinator;
  • Perform office administrative functions such as receiving, answering and routing telephone calls and emails, setting up and maintaining files, maintaining calendars and coordinating meeting times, scheduling conferences and conference room facilities, booking off-site meeting locations, sending out invitations and keeping track of responses, creating and distributing meeting agendas, taking minutes during meetings and distributing them to attendees, as appropriate, and overseeing logistical arrangements for meetings and conferences;
  • Research and obtain information for routine and moderately complex reports and special assignments;
  • Identifies and recommends procurement actions for supplies used to support hospitality services and special events
  • Manage the transmittal of incoming and outgoing memos;
  • Draft routine correspondence on behalf of the Coordinator and Deputy Coordinator;
  • Coordinate and arrange travel arrangements for the Coordinator and Deputy Coordinator, including working with the Travel Management Center (TMC) to develop itineraries, handle/secure visas and other travel requirements, as needed, submit and track routed travel authorizations, complete vouchers, and work with the Travel and Transportation Division (M/OMS/TTD) to resolve questions and concerns;
  • Coordinate the routing of documents/memos through the approval chain, following up on pending details, and ensuring deadlines are met;
  • Provide records maintenance;
  • Work with the AMS Office to ensure IT and all other office equipment is functioning properly, updated as needed;
  • Support USAID coordination efforts with other donors, NGOs, civil society groups, government officials, and other actors as needed;
  • Maintain awareness of events and programs in which the Coordinator and Deputy Coordinator are involved to ensure consistency in communications and tasking requests;
  • Maintain awareness of the other PACO leaderships calendars, events, and programs to work directly with other staff and ensure regular dialogue and sharing of information;
  • Edit for form and style to ensure documents are grammatically correct. Make recommendations for additional clearances or changes to classification, as appropriate.
Qualifications:

The contractor must have:

  • Bachelors degree and three (3) years of professional office experience;
  • Proficiency in the use of Google Suite, Microsoft Office, and e-mail applications (Google/Outlook) is required;
  • Knowledge of US Government administrative procedures;
  • Outstanding interpersonal skills and the ability to work professionally and diplomatically in a fast-paced, multi-cultural team setting with diverse stakeholders;
  • A team player with the ability to learn quickly, with minimal guidance;
  • Excellent written and oral communication skills;
  • Superior organizational skills;
  • Expert Ability to simultaneously manage multiple competing priorities;
  • US citizen with the ability to obtain an interim secret clearance at a minimum.
