Job Description:

Exit Platinum Realty is seeking a highly organized and detail-oriented Administrator to join our dynamic team. As an Administrator, you will play a crucial role in ensuring the smooth operation of our real estate office. Your responsibilities will encompass a wide range of tasks, including handling phone calls, managing paperwork, organizing events, and more. If you are a proactive and reliable individual who can efficiently manage various administrative duties, we invite you to apply for this position.

Key responsibilities include but are not limited to the following:

Answering and Routing Calls:

  • Professionally and promptly handle incoming calls.
  • Direct calls to appropriate team members or management staff as needed.
  • Maintain a friendly and helpful demeanor while assisting callers.
  • Provide general information about our services.

Sign & Lockbox Management:

  • Ensure that all real estate sign inventory is tracked and managed appropriately.
  • Coordinate the checking out and checking in of all real estate signs as requested by agents.
  • Coordinate the checking out and checking in of all real estate lockboxes as requested by agents.

Mail Management:

  • Sort, distribute, and manage incoming and outgoing mail.
  • Maintain organized records of all incoming and outgoing correspondence.

Event Preparation:

  • Assist in the planning and preparation of real estate events and workshops, including coordinating logistics and materials.

RSVP's for Events:

  • Manage RSVP lists for events/trainings and confirm attendance, ensuring all participants have necessary information.

Outstanding Dues:

  • Maintain records of outstanding dues from Realtors and ensure timely communication and follow-up.
  • Collaborate with management staff to facilitate payment collection.

CE Status Communication:

  • Monitor and communicate Continuing Education (CE) requirements and statuses for real estate agents in compliance with state regulations.

Thank You Correspondences:

  • Send out thank you notes and other correspondences to clients, partners, and guests.
  • Ensure timely expression of appreciation for business relationships.

End of Year HUD Statement Distribution:

  • Coordinate the distribution of end-of-year HUD (Housing and Urban Development) statements to clients.
  • Ensure accuracy and compliance with regulations per state tax guidelines.

Promoting Monthly Top Producers:

  • Work with the management team to recognize and promote monthly top-producing agents.
  • Implement strategies to showcase their achievements.

Maintaining a Clean Working Environment:

  • Ensure the office space remains organized, clean, and presentable.
  • Ensure all surfaces are clear of food sources.
  • Ensure all garbage is taken out to disposal area at the beginning/end of each day.
  • Coordinate with cleaning services and address any cleanliness issues promptly.

Qualifications:

  • High school diploma or equivalent; additional education in administration or related fields is a plus.
  • Proven experience in an administrative role, preferably in a real estate or similar setting.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage time effectively.
  • Knowledge of real estate terminology and practices is a bonus but not required.
  • Professional and approachable demeanor.
