Key Responsibilities:

  • Greeting and Welcoming : Warmly greet visitors, clients, and employees as they enter the office. Ensure they feel welcomed and valued.
  • Phone Management : Answer, screen, and direct incoming calls to the appropriate departments or personnel. Take and relay messages accurately and promptly.
  • Appointment Scheduling : Manage and coordinate appointments for clients and meetings for staff. Maintain an updated calendar and remind relevant parties of upcoming events.
  • Mail Handling : Receive, sort, and distribute incoming mail and deliveries. Prepare outgoing mail and packages for dispatch.
  • Office Management : Maintain a clean and organized reception area. Ensure office supplies are stocked and reorder as necessary.
  • Administrative Support : Assist with various administrative tasks such as data entry, filing, and managing correspondence. Support other departments with clerical tasks as needed.
  • Visitor Management : Register visitors, issue visitor badges, and ensure they are escorted to their destinations within the office.
  • Security Awareness : Monitor access to the office, ensuring only authorized individuals enter. Report any suspicious activities to management.
  • Customer Service : Provide information and assistance to visitors and callers regarding company services and direct inquiries appropriately.

Requirements:

  • Experience : Previous experience in a front desk or administrative role preferred. Experience in the construction industry is a plus.
  • Skills : Excellent verbal and written communication skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Personality : Friendly, approachable, and professional demeanor. Strong organizational skills and attention to detail.
  • Abilities : Ability to multitask and prioritize tasks in a fast-paced environment. Dependable and punctual with a strong work ethic.
  • Education : High school diploma or equivalent required. Additional qualifications in office administration are advantageous.
