Job Title: Office Manager

Company Overview: Our specialty design and construction team is seeking a detail-oriented and highly organized Office Manager to oversee our administrative and financial operations. If you have a strong background in QuickBooks and a proven track record of trustworthiness and reliability, we invite you to apply for this rewarding opportunity. The salary for this position ranges from $55,000 to $60,000 annually, depending on experience level.

Position Overview: As the Office Manager, you will play a critical role in ensuring the smooth functioning of our office by managing day-to-day financial tasks, maintaining accurate records, and providing administrative support as needed. The ideal candidate will be proficient in QuickBooks, have experience in construction or public accounting, possess excellent organizational skills, and demonstrate a high level of integrity and professionalism.

Key Responsibilities:

  • Financial Management:
  • Maintain up-to-date QuickBooks entries, including processing bill payments, deposits, and other financial transactions.
  • Conduct monthly reconciliations of QuickBooks accounts to ensure accuracy and completeness.
  • Monitor company balances, accounts receivable (AR), accounts payable (AP), and overall financial statuses.
  • Assist in processing monthly invoices and managing collections as necessary.
  • Prepare and distribute financial reports and summaries to managers as requested.
  • Administrative Support:
  • Maintain insurance records and facilitate the issuance of insurance certificates as needed.
  • Process payroll accurately and in a timely manner, ensuring compliance with relevant regulations.
  • Handle miscellaneous data entry tasks and assist with other office duties such as booking hotels and ordering supplies.
  • Respond to inquiries from internal and external stakeholders in a professional and timely manner.

Main Requirements:

  • Demonstrated trustworthiness with a proven track record of long verifiable work experience and solid references.
  • Extensive proficiency in QuickBooks, with the ability to efficiently manage financial data and generate reports.
  • Strong organizational skills and attention to detail to ensure accuracy in financial records and administrative tasks.

Additional Skills (Preferred but Not Required):

  • Previous experience in office management or related roles.
  • Familiarity with payroll processing software and other relevant tools.
  • Knowledge of basic accounting principles and practices.

Compensation: The salary for this position ranges from $55,000 to $60,000 annually, depending on the candidate's experience level and qualifications.
