PURPOSE

Supervises and coordinates flexible staffing for operations staff as needed throughout the organization. This includes receiving and promptly acting on requests for staff coverage from supervisors on a daily basis. This position works closely with supervisors and flexible staff employees to provide coverage for these positions. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.

ESSENTIAL FUNCTIONS

  • Receives and acts on requests for staff coverage from supervisors on a daily basis.
  • Imports or enters PRN, Float and Flex schedules in system and maintains accurate and up to documents on a weekly basis.
  • Maintains current information on daily staffing assignments to assure continuity of service.
  • Matches requested positions with qualified and appropriate staff.
  • Responds to questions regarding PRN/Float scheduling.
  • Communicates with employees about their schedules.
  • Emails weekly schedules to managers/supervisors. Utilizes staff scheduling platform to keep managers/supervisors informed of assignments.
  • Maintains a friendly rapport with employees and supervisors/managers.
  • Works closely with physician leadership to create and maintain Urgent Care and After Hours physician call schedules.
  • Maintains up to date information on utilization.
  • Prepares monthly reports showing the utilization of staff.
  • Responsible for reviewing and correcting employee time. This includes entering all time edit changes, contacting employees if punches are missing, making sure that the time is allocated to the appropriate department and signing off by deadline.
  • Interviews prospective employees and communicates with Human Resources throughout the hiring process.
  • Coordinates with the Learning & Development Department and clinics for the orientation and training.
  • Evaluates performance of staff and nominates for Heart of CMS Awards and bonuses when appropriate.
  • Identifies training needs of staff and establishes effective teaching/learning environment in order to meet those needs.
  • Maintains performance notes and provides ongoing feedback to staff members.
  • Completes orientation, transfer and annual reviews for all PRN and Float staff.
  • Provides counseling and discipline, when appropriate.
  • Communicates with flexible staff on an ongoing basis and updates them on all procedure changes, etc.
  • Receives information on updates and changes in the clinics and communicates appropriate information to PRN and Float staff.
  • Prepares the annual PRN/Float budget and monitors costs during the year.
  • Attends department meetings.
  • Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
  • Regular and dependable attendance.
  • Follows the core competencies set forth by the Company, which are available for review on CMS SharePoint.

OTHER DUTIES AND RESPONSIBILITIES

  • Performs other duties and projects as assigned.
  • Assists operations by taking on other assignments, whenever necessary, for the efficient operation of the department.

QUALIFICATIONS

Education and Experience

Required: High school diploma or GED. Bachelor’s degree or equivalent combination of education and experience required. Two (2) or more years of administrative/clerical experience. Experience using Microsoft Office programs.

Preferred: Staffing experience. Experience using EPIC. Supervisory or lead experience.

Knowledge, Skills and Abilities

  • Knowledge of or ability to learn current local, state, and federal employment/labor laws and regulations.
  • Excellent computer skills and knowledge of Microsoft Office programs, including Excel and Access.
  • Must be detail oriented and have the ability to work independently and efficiently in a fast paced environment within time constraints.
