Fairbanks Native Association is Hiring a Human Resources Specialist Near Fairbanks, AK

SUMMARY

Under the supervision of the Human Resources Director, the Human Resources Specialist provides administrative and technical support to the organization in several phases of human resources functions including employment/recruitment, orientation, training, employee relations, and special projects. This position requires the ability to communicate effectively and professionally with all levels of management and staff.

JOB DUTIES

· In coordination with hiring managers and HR staff prepare job requisitions, perform applicant pre-screening, and monitor the progress of open positions. May assist hiring committees with screening resumes, participate in interviews, and perform reference checks.

· Work closely with the recruiting assistant to create, document, and account for recruitment cycle activity including requisition creation and internal and external job postings on print and social media platforms. Assists FNA employees and external applicants with completing job applications, updating recruitment reports, and closing job requisition folders.

· Attend and represent the organization at recruiting events such as job/college fairs, conferences, and seminars as needed. Responsible for maintaining company swag and recruiting supplies.

· Review job descriptions regularly, ensuring they are updated, and that position codes are properly assigned.

· Manage the hiring process for new employees, this includes preparing offer letters, administering the background check, and testing processes, and assisting new employees with completing hiring paperwork. Verify I-9 documentation and maintain I-9 files, employment applications, and other in-house documentation.

· Responsible for the employee onboarding process, scheduling in-person orientation, assist new employees as needed. Perform offboarding of employees at termination. Conduct exit interviews.

· Prepare and maintain personnel files.

· Assist supervisors in preparing annual evaluations by completing HR checks and processing final documents.

· Process payroll action forms.

· Responsible for operational and technical personnel duties including entering HRIS data entry, assisting employees with personnel information, and interpreting human resources policies and procedures.

· Administer the Random Drug Testing Program for the company, instructing the supervisor when uncertain with requirements. Works with the HR Director and Health and Safety Officer to administer in-house breathalyzer tests and random UA tests as needed. Submits incident reports.

· Oversee the file room. Maintains confidential personnel files including creating new files, updating existing files, preparing files for storage, and archiving when necessary.

· Assists with generating and distributing reports for the HR department, including monthly performance evaluation notices, longevity reports, and other pertinent HR reporting as needed. 

· Purchase supplies for the HR department.

· May complete unemployment insurance requests and non-payroll verification of employment correspondence.

· Coordinate the Employee of the Month & Longevity programs. Assists in the coordination of employee-related activities and events throughout the year.

· Greet employees, applicants, or guests as needed and answer correspondence.

· Maintain company organization charts and employee directories and update the FNA Calendar annually.

· Performs other job-related duties as assigned.

NECESSARY KNOWLEDGE, SKILLS, AND ABILITY

· Knowledge of human resources policies and procedures.

· Knowledge of applicable state and federal laws and requirements.

· Knowledge of customer service concepts and practices.

· Knowledge of training, counseling, and arbitration techniques.

· Knowledge of recruitment and staffing processes.

· Skill in operating computers utilizing a variety of computer software.

· Skill in managing multiple priorities and tasks concurrently and meeting deadlines.

· Skills in oral and written communication.

· Skill in establishing and maintaining cooperative working relationships with other employees.

· Skill in providing functional guidance for administrative support needs.

· Ability to work independently as well as with teams.

MINIMUM QUALIFICATIONS (Education & Experience)

· Bachelor’s degree in HR Management or a related discipline; OR

· Associate’s degree in HR Management or a related discipline and two (2) years of HR management experience involving recruitment, employee relations, and/or other HR management activity; OR

· Four (4) years of HR management experience involving recruitment, employee relations, and/or other HR management activity.

PREFERRED QUALIFICATIONS (Education & Experience)

· Master’s Degree in business or a related field.

· Six (6) years of HR management experience including recruitment, employee relations, and/or other HR management activity.

· HRCI Certified Professional in Human Resources (PHR), Senior PHR (SPHR), Society of Human Resources Certified Professional (SHRM-CP), or Senior Professional (SHRM-SCP).
