JOB
This position provides administrative and office support activities for senior-level managers and other staff.Duties and responsibilities include: Performs general administrative and office management functions such as composing routine correspondence, proofing memorandums and documents for spelling and grammar.Uses multiple software packages to prepare memorandums, spreadsheets, and presentations. Responds to staff and customers’ inquiries and provides and explains relevant policies and procedures. Maintains staff calendars, schedules meetings, makes and cancels appointments. Schedules rooms for classes, meetings, conferences, etc. Uses spreadsheets or databases to organize information and produce standard reports. Creates simple spreadsheets. Maintains databases. Creates and prepares a wide variety of forms. Serves as back-up to other administrative assistants within the agency and provides administrative services at SWMP field site locations as needed. Monitors and updates the agency's emergency response system in the event of an emergency. Functions as a dispatch operator in the operation of a two-way radio. Monitors a Fleet Tracking (DriveCam Automatic Vehicle Location) system. Performs data collection in a field-based environment.Performs basic human resources and payroll functions. Enters payroll time entry in FOCUS (Fairfax County Unified System) for others and verifies completeness/accuracy of time entered. Trains employees on how to enter on-line time. Provides basic employee payroll and benefits information.Performs general financial and accounting functions. Performs document processing and analysis of financial activities and performs basic calculations and reconciliations. Orders goods or services and ensures appropriate routing and approval of purchase requests. Verifies requests for goods and services against county contracts and funding sources. SUPPLEMENTAL INFORMATION
MINIMUM QUALIFICATIONS: Any combination of education, experience, and training equivalent to the following: (Click on the aforementioned link to learn how Fairfax County interprets equivalencies for "Any combination, experience, and training equivalent to")Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).NECESSARY SPECIAL REQUIREMENTS: The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer. This position is considered essential personnel for purposes of continuity of operations and may be required to respond during inclement weather or emergency situations.PREFERRED QUALIFICATIONS: At least four years of administrative assistance experience performing payroll and procurement duties.Experience administering timekeeping and/or payroll processes.At least three years of customer service experience.At least two years of dispatching vehicles experience.At least two years of experience working in the Solid Waste field.Proficiency with Microsoft Word and Excel.Experience with HR information systems.PHYSICAL REQUIREMENTS: Ability to input, access, and retrieve information from a computer. Ability to perform repetitive hand, arm, wrist and shoulder movements. Ability to stand, stoop, bend, stretch, walk, climb, sit, kneel, crouch, reach, crawl, lift and handle materials with manual dexterity. Ability to walk, negotiate or traverse property sites that may be undergoing construction or having terrain that is not level. Work requires performing tasks in an environment in which raw waste is present. Ability to lift up to 25 lbs. without assistance.
