Fairfield County Ohio is Hiring an Office Assistant Near Lancaster, OH

To facilitate, expedite and support the work of the Fairfield County Alcohol Drug Addiction and Mental Health (ADAMH) office staff, provide administrative support for the Board (membership, meetings, records, tracking attendance, etc.), and provide front office customer service and to perform primary reception duties. 

A highly responsible administrative position with the primary responsibility for providing support and organization to the team in the ADAMH office, maintaining Board Records, coordinating the Board Meeting preparation and execution, and customer service functions. 

  1. Provide administrative/clerical support to the staff in the ADAMH office (especially the management team) including, but not limited to typing, filing, scheduling meetings, preparing travel itineraries and reimbursements, data entry, report tracking, etc.
  2. Facilitate and organize Board and committee Meeting Minutes and Materials, filing systems; digital and hard copy, and other clerical services.
  3. Coordinate and arrange meetings, prepare agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  4. Coordinate, copy, assemble (provide oversight of and back-up for (large projects (i.e. Community Plans, Provider Agreements).
  5. Assist with special events of the Board.
  6. Coordinate/maintain Fairfield Commons (selected electronic records including contracts, policies and procedures, board minutes, board packets, etc.).
  7. Achieve and maintain status as Notary and act as official Notary for needed documents for Board office.
  8. Be back up for Fiscal Officer to process Payroll.
  9. Support functions and activities needed for the operations of the Board Office.
  10. Inventory and order or shop for necessary supplies of the office.
  11. Travel as needed.
  12. Other duties as assigned.
Board and Board Committee Meeting Preparation and Execution
  1. Assure Board and Committee Meeting Notices are posted in a timely manner on Website and Facebook in collaboration with the Community Relations Coordinator, Google Calendar, and Online Eventful.
  2. Coordinate/track potential Board and Committee Meeting agenda items and relevant documents to assure timely processing. Assumes leadership role to coordinate/track potential Board and Committee Meeting agenda items and relevant documents to assure timely processing using software and technical tools of the office. Communicate and direct Board staff to complete or correct their assigned items for Board meetings.
  3. Organize materials for monthly Board Meetings and make available in a timely manner to Board Members, Board Staff, and Public using software and technical tools of the office.
  4. Take minutes at monthly Board Meetings and ensure all appropriate documents are signed and filed. Be primary contact to facilitate the live streaming of board meetings.
  5. Maintain Board Member files (attendance, training, and so forth). 
  6. Ability to manage projects.
  7. Prepare and submit annual training and attendance report to appointing authorities after review by Executive Director and Executive Committee
  8. Be knowledgeable of Roberts Rules of Order and ADAMH bylaws to assist board and executive director in meeting structure.
 High School diploma or GED required, associates or higher degree preferred.
Minimum of 3 years of relevant experience. BOARD EXPECTATIONS OF EMPLOYEE:
 In completing the duties and responsibilities of the position, the Board expects that the employee will adhere to all Board policies, guidelines, practices and procedures; act in a legal and ethical manner; act as a role model; perform duties as workload necessitates in a timely, accurate and thorough manner and communicate regularly with the Supervisor regarding department issues.
