Position Title: Administrative Assistant Training Department
Qualifications
Minimum Education Required: Graduation from an accredited high school or G.E.D., two year college degree preferred.
Training Required: Training in office procedures, and computer training, including Microsoft Word, Excel, PowerPoint, and Outlook.
Experience required:
Knowledge of child care and development; demonstrate excellent organizational skills, ability to multi-task and prioritize tasks; excellent decision-making skills, proficient in writing, including excellent spelling, punctuation, and sentence structure, proficient computer skills, demonstrated ability to work with the public in person and by phone; able to function as a member of the team.
Job summary:
Works under the supervision of the Senior Program Director, Child Care Education and Training in order to carry out clerical and administrative duties as assigned.
Duties and Responsibilities
Greet all visitors and answer telephones
Create and maintain all training file systems, electronic and physical
Prepare communications, including memos, emails, invoices, reports, and other correspondence
Register participants for training programs
Prepare and track Purchase Request forms
Prepare and maintain folders for classes, completing folders when class is finished. Ensure all contents are available and all forms and trainer tasks are completed
Prepare Ready to Participate Letters and email to participants, send announcement of training to all participants
Make reminder calls to class participants

Schedule appointment and maintain calendar
Collect and distribute mail daily
Maintain inventory, placing orders as required
Perform regular building maintenance checks, notifying manager of any needs or issues
Facilitate trainings, either Zoom or in-person, 4-6 times each month
Maintain brochures in Resource Room
Straighten and organize conference rooms, library, supply rooms and equipment rooms
Assist with the set-up of newsletters and schedule of training
Participate in all program/ agency special events, including conferences and concerts
Pre/In Service Training
Pre/In-Service training will include overview and training on agency policies and procedures. Additional training in management and early care and education will be provided through meetings, research materials, webinars, books, classes, and conferences.
