Family Support Center of Maryland is Hiring an Administrative Assistant for Behavioral Health Program (PRP and Group Therapy Practice) Near Halethorpe, MD

```Position Overview```
The Administrative Assistant role for the Family Support Center of Maryland and Family Support Therapy Center involves providing vital administrative and executive support to ensure the smooth operation of the program. The two programs listed operate in a shared space under equal leadership. The ideal candidate will greet individuals served and visitors with a friendly and professional demeanor, create a welcoming environment, and handle various administrative tasks. This is a part-time position with the office day starting at 8:00am Monday through Friday.

```Responsibilities```
- Oversee and manage the day-to-day administrative affairs of the CEO/President’s office.

- Participate in weekly meetings with the Chief Executive Officer.

- Facilitate efficient communication between the program and internal/external contacts.

- Organize departmental conferences and meetings, ensuring successful execution.

- Prioritize and manage multiple projects simultaneously; following through in a timely manner.

- Assist in the maintenance of the program’s calendar and coordination of events, provide daily agendas and appointment reminders.

- Work closely with therapists, counselors, and program leaders to ensure smooth scheduling.

- Coordinator and schedule donation pickups, ensuring timely and efficient collection.

- Ensure persons served are signing their individual sign in sheets for each successful encounter.

- Perform routine clerical and administrative tasks such as drafting correspondence, scheduling appointments, and organizing files.

- Answer telephones, greet visitors, and provide information while adhering to confidentiality regulations.

- Complies fully with all confidentiality regulations and policies while not disclosing any patient or client information to unauthorized persons.

- Creates and maintains, handling paperwork and authorizations professionally.

- Collaborate with team members, verify insurance information/eligibility.

- Participate in meetings and maintain minutes of meetings, as requested.

- Generate, implement and monitor a system for taking inventory of, maintaining and ordering program equipment and supplies.

- Ensure and maintain safe and clean environments, and staff offices though communicating with staff.

- Handle confidential information with tact and diplomacy.

- Conduct research and gather information to meet the needs of individuals served, as needed.

- Ability to read, understand and follow detailed departmental policies and procedures, and state and federal laws and regulations.

- All other duties assigned.

```Skills```
To be successful in this role, you should possess the following skills:
- Proficient in Microsoft Office (MS Outlook, MS Word, MS Excel, and MS PowerPoint in particular), as well as internet research.

- Familiarity with office equipment like printers and fax machines

- Excellent time management, attention to detail, and problem-solving skills.

- Strong written and verbal communication abilities.

- Exceptional organizational skills, including multitasking capabilities.

- Empathetic and person-centered approach when dealing with clients and visitors.

- Demonstrated ability to work collaboratively as part of a team.

- Must maintain a high level of confidentiality.

```Qualifications```

- Proven experience as an Administrative Assistant or in a similar role.

- Familiarity with behavioral health programs or medical office settings (strongly preferred).

- Ability to handle sensitive and confidential information with discretion.

- Adaptable with the ability to handle multiple tasks in a fast-paced environment.

- Receptive to Guidance

- Passion for working with and advocating for diverse populations, including the disabled and vulnerable.
