Intake Coordinator
Overview:
We are seeking a detail-oriented and organized Intake Coordinator to join our team. As an Intake Coordinator, you will play a crucial role in ensuring seamless patient intake processes and providing administrative support in a fast-paced clinic environment.
Responsibilities
The Intake Coordinator is primary responsible for:
-Registration and admissions: Welcoming patients, verifying insurance, and completing
Paperwork
-Patient records: Gathering information and creating records for new patients, and
updating records for existing patients
-Appointments and procedures: Scheduling appointments and procedures for future
treatments
-Communication: Answering questions from patients and their families, and
communicating with other team members
-Initial evaluations: Conducting evaluations to determine the level of treatment needed.
-Billing: Assisting with billing as needed
-Develop a close working relationship with the primary care provider and notify them of the referral process.
-Referrals: Making referrals when necessary to other providers
-Ensure patient information, appointment history, referrals, lab follow-up, phone calls, and consultations are carefully and completely documented in the EMR system.
-Maintain patience and professionalism, especially when interacting with frustrated or distressed patients, caregivers or family members.
Qualifications:
-High School diploma or equivalent required with college degree preferred.
-One year experience in healthcare admissions, preferably in the mental health field
-Excellent written and oral communication skills
-Positive attitude, proactive mentality, responsive, and strong work ethic
-Must be bilingual in English and Spanish
-Engage in respectful and ongoing communication and problem solving with others.
-Demonstrated ability to handle highly sensitive and confidential information in compliance with Health Insurance Portability and Accountability Act (HIPAA)
Highly Preferred Skills and Abilities:
-Knowledge and familiarity of clinic patient care
-Prior experience with Electronic Medical Records (EMR) systems
-Knowledge and understanding of insurance plans, benefits and coverage, medical terminology, and patient billing.
-Proven ability to work successfully under highly stressful conditions and in a concentrated, complex and fast paced environment.
-Outstanding organization and multi-tasking skills; natural initiative, creativity, adaptably and flexibility
-Able to maintain attendance to support required quality and quantity of work.
Physical Requirements:
-Able to sit and use computer, including keyboard and visual display terminal for extended periods of time.
-Strong manual dexterity for the use of common office equipment such as copiers, scanners and fax machines
-Moderate physical effort and ability to lift items weighing up to 20 pounds; some bending stretching and /or stooping.
-Able to stand, walk, and assist patients up to 10 hours per day.
