Role Summary:

We are seeking an Office Services and Facilities Manager who will play a crucial role in ensuring the efficiency of our office operations and the safety and functionality of our physical spaces. The ideal candidate will bring extensive experience in office management and facilities coordination, with a keen eye for detail and a proactive approach to problem-solving.

Role Responsibilities:
Office, Facilities, and Mail Services Management
  • Oversee day-to-day onsite office operations, including inventory management, workspace organization, and mail services, catering to the needs of both onsite and visiting employees and guests.
  • Coordinate building maintenance, inspections, and renovations to uphold a safe and productive work environment.
  • Cultivate relationships with external vendors and contractors, ensuring compliance with health and safety regulations.
  • Manage setup for special events and manage conference room reservations to ensure seamless scheduling for team meetings and special events.
Operational Efficiency Enhancement
  • Identify areas for process improvement and implement strategies to enhance office efficiency and productivity.
  • Develop and maintain policies and procedures to optimize workflow, collaborating closely with relevant stakeholders.
  • Foster a positive and inclusive work environment that aligns with FIFTH SEASON's values and culture.
Team and Stakeholder Management
  • Manage and provide guidance and support to our reception team, ensuring effective management of all facilities-related matters, events, policies, and procedures.
  • Collaborate with department heads and team members to address operational challenges and develop innovative solutions.
  • Communicate effectively with stakeholders to ensure adherence to office policies, procedures, and service standards.
Requirements:
  • Bachelor's degree or equivalent experience in business administration, facilities management, or related field.
  • Minimum of 5 years of experience in office management and facilities coordination, preferably in the entertainment or creative industry.
  • Experience in team management, with strong leadership skills and the ability to motivate and guide team members effectively.
  • Proficiency in office software and systems, including Microsoft Office and facility management platforms.
