Objectives of This Role

As an associate director of program management you will manage training, strategic business planning for book of business, and staff road map development

 Duties and Responsibilities:

Communication

  • Drive difficult or complex project discussions with client and teams, facilitate resolution
  • Can speak to technical solutions, usability, and data integration fulfillment
  • Skilled at influencing and persuading internal teams and external clients

 Project Management

  • Proficient and innovative problem-solver
  • Collaborative business partner to team capability leads
  • Seeks to optimize team services and internal resources
  • Identifies potential improvements and efficiencies, ensuring teams use flexible project planning designed to support the strategic, creative, and executional process
  • Collaborates on key operational tools and process development/implementation
  • Responsible for the quality and consistency of work across brands

 Financial

  • Partners with account and finance leads to ensure accurate, complete, reliable brand forecasting, pressure-testing against known variables and trends
  • Responsible for financial health of book of business, including monitoring run rate, and collaborates with resourcing/department leads to ensure the team is staffed to hit forecast o Evaluates and acts on utilization trends for direct reports
  • QCs brand SOWs before sending to finance for review; ensures a) assumptions are reasonable and all assumed costs are included/excluded; b) appropriate staffing allocations by department

 Training/Tool Set

  • Mastery of Ziflow, Workamajig; MS Office Suite (advanced-level Excel)
  • Collaboration in assessment of department tools, best practice guidance, SOP development

 Client Management/Interaction

  • Subject matter expert in client interactions (strategic, complex, or rare project types)

 Teamwork

  • Collaborates with PM department lead on agency initiatives
  • Collaborates with interagency resource managers
  • Partners with creative and account leads to ensure success and financial health of brands o Collaborates with PM department lead to assess, align, and optimize processes within agency

 Leadership

  • Provides mentorship, training, and skill development to direct reports
  • Collaborates on content and delivery for PM meetings
  • Shares knowledge and provides learning opportunities across brands
  • Collaborates with PM department lead on departmental career development
  • Conducts biannual reviews and goal road-mapping; mentors direct reports through the process o Fosters good team culture, reinforcing and encouraging tenets of the agency

 Business Development

  • Participates in new business pitches, whether creating content or developing budgets or timelines Attends Q&A sessions with potential new clients

 Channel Expertise

  • Mentor for multichannel best practice development o Mentor for requirements assessment, co-creation cross-channel

 Job Requirements:

  • Proven experience as program manager or other managerial position
  • Thorough understanding of project/program management techniques and methods
  • Excellent knowledge of performance evaluation techniques and key metrics
  • Outstanding knowledge of data analysis, reporting, and budgeting
  • Working knowledge of MS Office and program management software
  • Business acumen with a strategic ability
  • Excellent organizational and leadership skills
  • An analytical mind-set with great problem-solving abilities
  • Excellent communication skills

Preferred Qualifications

  • Previous stakeholder management skills
  • Strong working knowledge of Salesforce CRM software
  • Strong organizational and multitasking skills
  • Excellent analytical and problem-solving abilities
  • Team management and leadership skills
  • Documentation management and ability to use project management tools
  • Attention to details even under pressure
  • Time management skills with the ability to meet deadlines
