FirstLine Schools is Hiring an Operations & Event Coordinator Near Orleans, LA

About FirstLine Schools

In 1998, FirstLine Schools started the first charter school in New Orleans. FirstLine now operates four PreK-8th grade schools. Our mission is to create and inspire great, open admissions public schools in New Orleans.

Position Summary:

The Network Operations Coordinator is responsible for a variety of operational duties at the FirstLine Network Office. Key responsibilities are managing the network office, acting as the office receptionist, managing special events, collaborating and liaising with the Board and providing occasional support to network leaders. 

Position Responsibilities:

Management of the Network Office – 40%

  • Creates and maintains a welcoming and efficient network office that emphasizes organization, professionalism, courtesy, flexibility, and teamwork
  • Support network office staff with administrative and technology needs (including but not limited to copier, printer and computers) mail, access codes, off site storage and acting as the liaison with external vendors;
  • Manage the calendar for network office spaces;
  • Manage the info@firstlineschools.org email address;
  • Assist with office communications and office announcements;
  • Coordinate meetings and events with FOAs and SOMs regarding board meetings and large events across the entire network;
  • Monitor all keys and access codes for all central office employees;
  • Ensure the network office is attractive and well-maintained;
  • Provide basic onboarding for new network employees to the network office;
  • Maintain our off-site filing system in accordance with education and finance retention policies.
  • Supply ordering and organization of office supplies and maintains the overall organization of the network supply room; 
  • Creates POs, following FirstLine financial purchasing policies, and manages the purchasing process via Coupa for the network office;
  • Prepares and submits expense reports for network office staff;
  • Lead on logistical planning for network office meetings, including but not limited to refreshment ordering, site confirmation and set up, and closeout procedures; 
  • Support network office staff to arrange travel, as needed; and
  • Support external trainers or stakeholders participating/leading workshops or events, including travel arrangements and logistical support as needed

Receptionist Duties – 15%

  • Sits at front desk and greets and announces all visitors appropriately;
  • Uses appropriate telephone etiquette and answers, screens, and refers telephone calls, handles inquiries, and relays messages; and
  • Supports front desk operations at a FirstLine school as needed for short term coverage.

Compliance – 10%

  • Serve as the main liaison with NOLA Public Schools for all compliance related activities;
  • Reviews LDOE and NOLA-PS weekly newsletters and forwards necessary info and deadlines to appropriate parties;
  • Maintain a compliance calendar for state compliance and local compliance;
  • Maintain a system for storing compliance-related documents for the network office; and
  • Maintain vendor contracts in the vendor management system, Vendor Risk.

Special Event Management – 35%

  • Set up board meetings – in-person at a FirstLine school;
  • Assist in coordination of the annual board retreat;
  • Provide support to lead team overseeing planning/execution of special events, including but not limited to:
    • Special events for external partners; 
    • Network staff appreciation/celebratory events; and
  • Collaboration with HR on FirstLine acknowledgement of employee anniversaries, including milestone recognitions.
  • Manage all logistics for all leadership and central office retreats including:
    • schedule and manage event space and associated food (keeping in mind a variety of food restrictions)
    • ensure proper name placards (proper spelling, full guest list, etc)
    • ensure all speakers/trainers have all necessary materials for a strong training/retreat
    • communicate about the retreat/event to all involved attendees (location, meals, etc)
  • Prepare and execute event work plan for a variety of events, including summer leadership PD;
    • Schedule event spaces and calendar with appropriate staff and external participants;
    • Create name placards, signage, seating chart (as needed), copies and other needed materials for network meetings and trainings;
    • Manage event budget with appropriate cost controls;
    • Supervise and coordinate the activities of the catering, personnel, custodial team, security, maintenance, and entertainment as needed;
  • Ensure that all contractual obligations are met with external vendors (Confirm Certificates of Liability);
  • Secure alcohol permits for events when needed; and
  • Other duties as assigned.

Requirements

Education and Experience

  • Two (2) years relevant experience required
  • Associates degree or higher preferred
  • Demonstrated commitment to providing outstanding schools to all students 
  • Fluency with PowerPoint, Excel, Word and Outlook (and/or associated Google Docs)
  • Experience with project management and office management preferred

Physical Requirements:

  • While performing the duties of this job, the employee may be required to sit, walk, stand, talk, and hear 
  • Light lifting of equipment may be required (up to 20 lbs.)

Position reports to: Director of Operations
