If you're an experienced administrative professional with a passion for supporting dynamic sales teams and a knack for efficient organization, Fiskars Group invites you to join our Vita* Americas team.   • Vita encompasses our luxury brands Georg Jensen, Iittala, Moomin Arabia, Royal Copenhagen, Waterford, and Wedgwood.
Job Purpose:The Vita Americas Sales Administrator will provide comprehensive administrative support to the Sales Team, including calendar management, scheduling, travel planning, expense reporting, event coordination, creating presentation materials, and streamlining administrative processes. This role involves frequent interactions with senior-level personnel, VPs, Directors, and external collaborators. Limited travel may be required for offsite events/meetings.
Key Interfaces and Stakeholders:
  • Internally: Executive team for the Americas, with a focus on supporting the Vita Americas Sales Team.
  • Externally: Vendors and external visitors.
Key Responsibilities:
  • Provide professional representation for the function.
  • Manage calendars, travel, expenses, event registrations, and detailed meeting plans for executive leadership.
  • Act as a representative of executive leadership for internal and external communications, screening correspondences.
  • Coordinate meetings, create PowerPoint presentations, manage monthly reporting, and utilize Excel and other Microsoft Office programs.
  • Arrange on- and off-site meetings, events, and travel with supporting materials as needed.
  • Ensure the Sr. Director of Sales is informed of priorities, handling confidential information with utmost confidentiality.
  • Act as the de-facto administrative site leader, fostering a community among other administrative roles.
  • Identify system improvements and collaborate on solutions.
Skills, Knowledge, and Experience:
  • Education: High school diploma required, associate or higher degree preferred.
  • Experience & Knowledge:
  • 3-5 years of proven experience providing comprehensive administrative support at the executive level.
  • Effective communication skills at all levels, including with executives, vendors, guests, employees, and management.
  • Strong independent thinker with excellent written, verbal, and other communication skills.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to prioritize, stay organized, meet deadlines, multitask, and work independently.
  • Quick learner with excellent interpersonal communication skills.
  • Highly organized and able to work efficiently under pressure.
  • Proactive, flexible, results-oriented team player comfortable in a rapidly changing environment.
  • Experience with luxury brands is a plus but not required.
  • Fluency in English required.
