Fitzpatrick Hotel Group is Hiring an Executive Assistant/Personal Assistant (Temporary) Near New York, NY

Full job description (Temporary)

The Executive Assistant is responsible for helping to manage the day-to day activities of the CEO. These duties include providing executive-level administrative support for the CEO for all personal & professional activities including scheduling, reporting, project management and all collaborative activities required. The ideal candidate will be highly affable with superior written & verbal communication skills and capable of managing a diverse and ever-changing number of responsibilities in a positive and productive manner Other duties include but not limited to correspondence, telephone screening, travel arrangements, filing and the general organization of the office. The position is mainly self-directed and exercises considerable independent judgement and authority as well as the utmost discretion, in accomplishing the work for the office.

Responsibilities and Duties

  • The ability to organize and prioritize daily workload independently.
  • The ability to create own correspondence as directed and when warranted.
  • The ability to produce flawless, accurate work.
  • The ability to work independently with little or no direction.
  • The ability to follow-up on instructions and requests in a timely manner.
  • The ability to meet deadlines.
  • The ability to handle multiple assignments.
  • The ability to process departmental invoices.
  • The ability to handle pressure.
  • The ability to answer telephones and handle inquiries or take messages to refer to appropriate party.
  • The ability to handle typing and word-processing needs for the CEO as required.
  • The ability to execute the tasks of the CEO.
  • The ability to maintain accurate records.
  • The ability to assist the CEO in maintaining accurate documentation for guest bills in preparation for approval.
  • The ability to maintain up-to-date lists for various mailings.
  • The ability to prepare mailings in accordance with timelines established in documents.
  • The ability to organize legal paperwork.
  • The ability to make travel arrangements.
  • The ability to maintain the CEO’s calendar.
  • The ability to respond to guest complaints and requests.
  • The ability to assist in running local errands as requested.
  • The ability to handle computer posting procedures and imputing as necessary.
  • The ability to document meetings in minutes and process for review by the CEO.
  • The ability to display a high level of professionalism and integrity at all times.
  • The ability to manage and maintain payments for credit cards, utilities, property taxes and insurances and reconcile bank and credit card statements at the end of the month.
  • The ability to manage and maintain personal insurances (car, boat, motorcycle and home).
  • The ability to coordinate and manage in the planning of household special events (i.e., dinner parties, annual holiday parties, events).
  • The ability to make and manage travel arrangements and visa requirements, including clear, detailed itineraries specific CEO travel needs and preferences.
  • The ability to interact with customers, brokers, and other professionals on day-to-day business matters.
  • The ability to review and process investment transactions; including presentation paperwork, opening accounts and settling trades; maintains investment accounts and executing wire transfers.
  • The ability to organize and manage off-site conferences and meetings (develop the agenda, resolve logistical issues, select meeting site, and arrange for support).

Qualifications and Skills

  • Available 24/7 through smart phone.
  • Reading, writing and oral proficiency in the English language.
  • Secretarial skills including but not limit to typing, work processing, dictation, and filing.
  • Bachelor’s Degree in Communications or equivalent.
  • At least 2 years of experience as an Executive Assistant to a CEO or top-level Executive.
