This role is exciting and demanding

As an Office Assistant for Five Elms, you are at the heart of everything. Five Elms is a fast-growing company; serving entrepreneurs and our investors is an awesome and demanding job and this role is no different. Your role will vary day-to-day: ambiguity, changes in priorities and managing the needs of the office and multiple team members will be exciting to you. Schedules are overloaded; there’s a lot to do, and not a lot of time to do it. You will need to make sure it all works seamlessly.

You will have a broad set of responsibilities

  • Serve as a gracious host welcoming our many visitors and employees. You will be the first impression of Five Elms daily requiring presence at the front desk.
  • Provide general scheduling support for the team including organizing calendars, submitting expenses, coordinating travel, and running occasional errands.
  • Provide general support and backup to our Office Manager that oversees all administrative tasks, culture and firm events, technology support, and projects.
  • Stock the kitchen with food and beverages for breakfasts, snacks, lunches, and late nights for the team. You will set up daily breakfast, refresh beverages, cater weekly lunches, and assist with monthly happy hours and other outings for the team.
  • We have an open concept office with plans to expand. Ensure the space is fully stocked with supplies and stays clean, tidy, and presentable at all times.
  • Organize meetings, then make them polished technically, logistically, and culinarily.
  • Assist with facilities management staff and outside vendors to keep the office running smoothly. This includes setting up workstations and small remodel or construction projects.
  • Own a variety of administrative tasks such as copying, scanning, answering and routing calls, running errands, sorting and distributing mail and ad hoc requests.
  • While we can’t possibly cover everything (nor would you want us to as that would be too predictable), your role will encompass making the Five Elms team, our entrepreneurs, and investors as productive and as happy as possible!

To be considered, you must be:

Available and Flexible. Meetings start early and run late requiring front office service from 7:45am – 5:15pm Monday-Friday. You must have and maintain a valid driver’s license and reliable transportation to run errands and fulfill requests.

Professional. We don’t take ourselves too seriously, but we do take our work very seriously. You know how to keep several balls in the air that can’t be dropped. You can be trusted and handle confidential information with the utmost care. You consistently maintain a professional attitude and appearance.

Extroverted. You will be interacting with many people on a weekly basis, so being a people person with a sense of humor is a prerequisite.

Unflappable. Unforeseen things happen, and always at the last minute. You should be able to pause and laugh for a brief second before quickly acting to make problems disappear seamlessly.

Experienced. You have prior experience delivering exceptional customer service and are proficient with Microsoft Office and G-Suite applications.

A Good Writer. Much of communication is written these days. Presenting well and succinctly via email is key.

Detail-Oriented. There are hundreds of details to keep track of, from multiple travel schedules to the latest video conferencing software and you are always on top of it.

Responsive and Proactive. This is your nature. You anticipate needs and think ahead before someone even thinks to ask. “That’s not my job” is not your mindset.

Resourceful. We thriveon being told something isn’t possible and then figuring out how to get it done. You must know that when something looks like it can’t be done, there is always a way.
