Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office and providing exceptional support to both staff and clients. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and a proficiency in various office management tasks.
Duties
- Answer all incoming calls to the main office and direct to the appropriate representative.
- Printing documents, coordinating execution and organizing retention or delivery.
- Assist in daily office operations, including filing, scheduling, sorting, scanning, printing, and ordering supplies.
- Provide exceptional customer support by greeting visitors, answering inquiries, and directing calls appropriately.
- Assist with front desk responsibilities, ensuring a welcoming environment for clients and guests.
- Perform proofreading of documents to ensure accuracy and professionalism in all communications.
- Maintain organized filing systems, both electronic and paper-based, to facilitate easy access to information.
- Utilize Google Suite and other software tools for data entry, document creation, and communication purposes.
- Initial storage of invoices and scanning.
- Support accountant duties by retrieving invoices and gathering documents for tenant responses.
- Collaborate with team members to streamline processes and improve overall office efficiency.
Qualifications
- Proven experience in office management or administrative roles is preferred.
- Strong customer service skills with the ability to communicate effectively with diverse individuals.
- Excellent organizational skills with a keen attention to detail.
- Proficiency in computer literacy, including familiarity with Google Suite applications.
- Experience in proofreading and editing documents for clarity and accuracy is a plus.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Previous experience as a with document management software. DocuWare experience is a plus.
