Summary: Provide legal and administrative support to attorneys and/or paralegals specializing in the areas of estate planning, trust administration, estate administration, and guardianships. Position will support multiple attorneys and/or paralegals.
Essential Job Duties and Responsibilities:
• Prepare Fee Agreement letters;
• Convert draft estate planning documents, correspondence, memoranda and reports into quality typed form;
• Assist Attorneys and/or paralegals with general administrative duties;
• Enter billable and non-billable time into time entry system for attorneys as required;
• Create estate planning binders for clients;
• Interface directly with clients relative to substantive matters;
• Perform general administrative duties including but not limited to reviewing, sorting, and dating mail; maintaining accurate files; scanning; scheduling;
• Guide work flow for Clerk;
• Complete general administrative projects;
• Assist other members of the firm as time permits;
• Assist receptionist per regular rotation for coverage and as needed; and
• Other duties as assigned.
Knowledge, Skills, and Abilities:
• Thorough understanding of estate planning documents including wills, revocable trusts and irrevocable trusts;
• Excellent communications and interpersonal skills including via email and telephone;
• Ability to follow instructions effectively and efficiently and to provide information with courtesy and tact;
• Ability to maintain effective relationships with clients, other professionals, attorneys, managers and all other Fletcher Tilton PC staff;
• Ability to represent Fletcher Tilton PC in a professional capacity to clients and related professionals;
• Ability to maintain confidentiality on all client matters;
• Ability to be alert to current matters to further results and progress of client matters;
• Must be well organized, detail oriented and self-motivated, able to prioritize numerous tasks and complete them within time constraints;
• Ability to take responsibility for seeing all tasks through to the end;
• Ability to proofread and produce documents that are neat, attractive and free from errors;
• Must have excellent word processing skills and ability to work with a personal computer, operate standard office equipment such as photocopier, facsimile machine, scanner, typewriter and calculator;
• Must be proficient with Microsoft applications: Word, Excel, Access, PowerPoint;
• Ability to perform non-complex arithmetic calculations when verifying calculations on forms and documents and when maintaining records and files at a level normally acquired through high school or the equivalent;
• Ability to work well in a team environment; and
• Ability to operate the switchboard and to meet and greet clients in a courteous, professional manner.
Credentials and Experience:
• High School Diploma with courses in secretarial/office administration or equivalent and substantial experience in, trust administration and estate planning or related field; and
• Minimum of three years on the job experience necessary in order to perform complex administrative duties in a professional services setting.
