Responsible for managing the front desk and ensuring smooth office operations. Key duties include answering calls, greeting visitors, scheduling appointments, HR, and ITAR Admin tasks. They serve as the first point of contact for clients and guests, representing the company professionally and efficiently. Key Duties
Coordinate with hosts to ensure smooth visitor experiences.
Sort and distribute mail, packages, and deliveries at front desk.
Capture badge photos for new hires
Create badges for new employees.
Prepare meeting rooms for interviews, new hires, and visitors
Arrange seating, AV equipment, and other necessities.
Order food for new hire events and meetings.
Manage snack and drink inventory.
Run background checks and E Verify processing
Monitor and respond to reviews on platforms like LinkedIn, Glassdoor, Indeed, and Facebook.
Send out retiree letters
Send visitor verification forms in advance to collect necessary information for ITAR
Verify visitor IDs upon arrival and issue appropriate badges and/or tags (color id tags) for ITAR compliance.
Conduct ITAR training for visitors, emphasizing compliance and security protocols.
Grant level of access based on whether visitors are U.S. based or foreign individuals.
Maintain a log or database of approved visitors for ITAR purposes.
Regularly check the AECA Debarred List for both individuals and entities whenever
someone enters the building.
Handle additional tasks as assigned
Qualifications
3-5 years’ experience preferred.
Undergraduate degree preferred
High School Diploma
Excellent communication skills.
Strong organizational abilities.
Attention to detail.
Ability to learn ITAR regulations.
