Position Vacancy Announcement
Florida A&M University's College of Pharmacy and Pharmaceutical Sciences is pleased to announce the acceptance of qualified applications for the Administrative Assistant vacancy. This position provides primary administrative support to the Associate Dean for Student Affairs (ADSA) requiring a high level of discretion and independent decision making to ensure effectiveness in the ADSA's areas of responsibility.
ResponsibilitiesServes as the initial point of contact for all inquiries to the ADSA; Uses knowledge of the responsibilities and priorities of the ADSA , and of the College, to manage all requests; Understands the import of higher-level requests and attends to them immediately or as needed which may/may not require communication with the ADSA; Extensive knowledge of the network of key College and University officials, donor organizations and individuals , required; Responsible for maintaining the calendar for the ADSA , e-mails, scheduling of all meetings , securing meeting space and creating agendas; Acts as liaison for the ADSA with key University officials, faculty, staff, students, stakeholders, foundations, and the community; Maintains a comprehensive tracking system of future meetings and items that need attention; and Maintains a comprehensive filing system on SharePoint and DropBox.
Assists the ADSA with the admission process and procedures for the College including but not limited to communicating with students regarding the process, University Admissions, coordinating PharmCAS assignments , maintaining records , creating a database in MS Excel, and assisting with updated policies for Student Handbook and on the College's website; Provides administrative support , as necessary , to the College Admission Committee; Coordinates the ADSA's activities and functions requiring frequent contact with other senior-level administrative and academic offices throughout the College and the University; Provides the ADSA with background information and other support materials in preparation of such functions; Interacts directly with the Offices of the Provost, Vice Provosts, Vice President of Student Affairs, and Colleges within the University to gather information; and acts as a resource for their inquiries and requests.
Defines scope, conducts research , analyze and prepares information , reports, correspondence, and other materials for use by the Dean, ADSA and other senior staff members in the College; Coordinates New Student Orientation for pre-professional and professional students; Assists with the College Student Ambassadors and the RxCARE Programs; Composes correspondence independently; Prepares preliminary responses to letters , general correspondence, and personal inquiries of a sensitive nature, including faculty, students , and staff grievances and Coordinates and assist the ADSA with meeting various reporting requirements, operational responsibilities, and organizing programs , functions , and activities; Coordinates special Student Affairs events; Oversees the Office Student Affairs budget ; and Performs other duties as needed.
Minimum QualificationsA high school diploma and seven years of related experience; or a combination of post high school education and experience equal to seven years.

Pay Plan
This is an USPS (University Support Personnel System) position.
Conditions of Employment
