Private family management firm in stunning Wilton location seeks a highly qualified Office Manager to assist in extensive office operations. Strong Excel, Word , Outlook. Notary a plus. Experience in a similar family investment firm with numerous trusts and or accounting firms desired. Experience in performing the duties listed below are important to quickly acclimate and a penchant for details along with being highly organized, will be key.
Responsibilities include: Manage correspondence for the foundation for 20-30 charitable or-ganizations. Handle requests to and follow up with organizations regarding requirements dona-tions. Logging and filing all correspondence. Private investment support to maintain and up-date secure list of login details for data rooms. Notify PMs of upcoming events. RSVP and register for events, update calendars with events and login details. Information Technology support. Follow up with IT vendor on open tickets and new items. Properly dispose of technology assets (ad hoc). Operations support: Prepare and mail large batches of documents to over a dozen stakeholders. This task involves collating, packing and shipping multiple boxes of documents (boxes can weigh 5 pounds or more). This large mailing occurs annually. Additionally, there is less intensive document preparation and mailing that occurs quarterly and monthly.Manage the day-to-day interaction with plant support vendor and manage the day-to-day interaction with building contacts. HR support: manage the day-to-day interaction with outsourced HR provider & input vacation days into the company calendar. Special projects: Maintain, clean, and update the Outlook contact list. Reorganize formerly used cubicles and offices and remove old files 5 years. There will be Executive Assistant duties with travel, expense reporting, handling kitchen supplies and catering A more complete long job description will be available to potential candidates.
Hours are 9-5. Salary $85k . Excellent benefits and eligibility for 401K and profit sharing.
