We are currently seeking a highly organized and detail-oriented Project Administrative Assistant to support our project teams in the USA. This role is crucial in ensuring smooth and efficient administrative operations for both surface and underground drilling projects.
Position Overview:
As a Project Administrative Assistant, you will provide critical administrative and clerical support to project managers, supervisors, and field crews. Your organizational skills and attention to detail will help ensure projects are executed efficiently and comply with company and regulatory standards.
Key Responsibilities:
- Provide administrative support to project teams, including scheduling meetings, preparing reports, and maintaining records.
- Coordinate travel arrangements, accommodations, and per diem for field personnel.
- Assist in the preparation and submission of project documentation, including permits, compliance reports, and safety logs.
- Maintain and update project files, ensuring accuracy and accessibility of documents.
- Track and manage project expenses, invoices, and purchase orders.
- Act as a liaison between on-site teams and office staff, facilitating clear communication.
- Monitor and ensure compliance with MSHA regulations and company policies.
- Assist with onboarding new project personnel, including training coordination and documentation.
- Order and track office supplies, tools, and materials required for projects.
- Prepare regular progress reports and presentations for management and stakeholders.
Qualifications:
- Proven experience in an administrative or project support role, preferably in construction, mining, or drilling industries.
- Strong organizational skills with the ability to multitask and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Excellent verbal and written communication skills.
- Familiarity with MSHA regulations and safety compliance is a plus.
- Attention to detail and problem-solving skills.
- Ability to work collaboratively with diverse teams in a fast-paced environment.
- High school diploma or equivalent required; additional education or certifications in office administration or project management is a plus.
