What is Fort Worth Housing Solutions (FWHS)?
Fort Worth Housing Solutions manages Housing Choice Vouchers and other rental assistance programs that help families and individuals cover housing costs. FWHS works closely with numerous partners to promote economic independence and positive change in the lives of more than 33,000 individuals every day.
As the Executive Assistant to the President of Fort Worth Housing Solutions, you will provide a broad range of high-level administrative services, executive support, and special project coordination for the Fort Worth Housing Solutions. Candidates for this position will handle “highly” confidential information and must possess a work ethic founded in honesty, dignity, integrity, self-respect, and trust. All activities must support the FWHS mission and strategic goals / objectives.
In this role, the Executive Assistant’s primary job responsibilities include:
  • Cross trains and serves as backup to Board Liaison for coordination and posting of Board of Commissioners meetings.
  • Oversees day-to-day administration of the Executive Office, including preparing correspondence, screening, and returning calls, greeting guests, and coordinating calendar for President.
  • Coordinates all staff meetings including calendar planning, agenda development, notes and follow up communications regarding action items.
  • Provides support for special events in collaboration with the communication coordinator/events planner, including staff celebrations, annual retreats, holiday events, and periodic bus tours for staff and external partners.
  • Provides administrative support for the Barbara Holston Education Fund, including meeting coordination, development of the agenda, recording notes, preparation of minutes, and assistance with scholarship process and awards.
  • Responds to inquiries from staff, clients, vendors, community partners, etc. on behalf of the President as instructed.
  • Manages, leads, and administers various special projects related to FWHS as directed by the President.
  • Coordinates execution of documents for the President’s signature and distributes them to applicable departments for processing.
  • Prepares correspondence of a general, specialized, and confidential nature; performs various clerical jobs, such as filing, telephone screening, greeting, etc.; receives calls and responds to inquiries from staff, residents, clients, vendors, service providers, etc.
  • Coordinates specific administrative contracts / agreements on behalf of the President/CEO.
  • Coordinates the distribution of information coming in and out of the Executive Office.
  • Reconciles monthly billing activities / expenditures incurred by the Executive Office.
  • Manages logistics related to travel and training for the President, including booking transportation and hotels, coordinating per diem payments and reconciling credit card expenditures.
  • Maintains agency contact list of business partners, community partners, and city staff for communications and invitations.
  • Conduct informational presentations and attend planning meetings with community and business partners at in-office and external meetings.
  • Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities (Qualifications):
  • Bachelor’s degree from an accredited College or University in business, management, public administration, or related field; OR an equivalent combination of education and experience may be considered
  • Minimum of three (3) years of experience in an administrative or project coordination/management role.
  • Previous experience in administration of Boards of Commissioners activities and/or previous public housing authority administration is strongly preferred.
  • Must possess strong writing, research, and analytical skills, as well as the general ability to express ideas effectively both orally and in writing.
  • Excellent communication and interpersonal skills.
  • Ability to communicate professionally, clearly, and concisely, to internal and external partners, both orally and in writing. Ability to present information to groups of people.
  • Must possess a current Texas Driver’s License, have a driving record in good standing, and be eligible for coverage under FWHS’s fleet vehicle insurance policy.
  • Must pass a pre-employment criminal background check.
