Forte Preparatory Academy is Hiring an Operations Assistant - Temporary Near New York, NY

Committed to changing the game for students in Northwest Queens, we are searching for an Operations Assistant (Temporary - parental leave coverage) beginning February 2024. Someone who strives for excellence even when the path of least resistance seems easier. A leader is passionate about building community and committed to the persistence and stamina required to do the work. A person who does not shy away from giving critical feedback and can easily navigate different styles of communication and the various constituents in a school community. Open to feedback and eager to improve, this individual's primary goal is to provide students with choices at the next level in a learning environment that is simultaneously challenging, stimulating, and fun.

Who We Are:

Forte Preparatory Academy- Middle School is a 5th through 8th-grade college preparatory, tuition-free public charter school for Queens, New York, focusing on serving the Jackson Heights, East Elmhurst, and Corona communities. We will educate 360 students in the School Year. Our mission is: Through rigorous academics, quality instruction, and a positive culture of individual and collective responsibility, Forte Preparatory Academy Charter School equips all students in grades 5 through 8 to excel in college preparatory high schools and use their leadership and voice to change the world.

Our students have outperformed Community School Districts 24, 30, Queens County, New York City, and New York State on the ELA and Math State exams. Our students were predicted to dramatically underperform their peers in both exams before they set foot in our school. We doubled proficiency rates in reading and nearly tripled them in math and look forward to continuing to build from there. We are on our way to becoming a school that is well-known and well-respected in Queens. We do this work so that these students can beat the odds stacked against them and change those odds forever.

What We Need:

Forte Prep Academy seeks a detail-oriented and proactive Operations Assistant to join our team. The Operations Assistant will be crucial in ensuring the smooth functioning of various operational aspects, including IT support, event management, material orders, testing coordination, budget/finance/procurement, and risk management. While this is a temporary role, there may be an opportunity for permanent hire.

What You'll Do:

Manage operations of the school's main office:

  • Manage phones (answer, receive, and place phone calls, take messages, etc.).
  • Manage mail (stamp, sign, and distribute received mail; prepare and send outgoing mail, etc.).
  • Respond to and address family requests, including providing needed documentation.
  • Support in managing our School Operations Ticketing system.
  • Ensure that systems are in place to support translation needs, crucial conversations, and the easy flow of information for all stakeholders.
  • Actively contribute to building an engaged, diverse, and inclusive school community.
  • Support the collection and maintenance of student, personnel, and school information (receive forms and paperwork, take and track attendance, track missing forms, manage databases, update contact information, keep records current, enter information into ATS and other student information systems, etc.).
  • Support the administrative team with special projects as needed.
  • Moves packages weighing up to 30 pounds.

IT Tech Troubleshooting:

  • Provide technical support to staff, troubleshooting hardware and software issues.
  • Collaborate with IT personnel to address and resolve technical challenges.
  • Support with our systems for the school, classroom technology components, copy machines, student and teacher tech, networking equipment, equipment audits, internal and external ticketing systems, troubleshooting.

Inventory Management/ Procurement:

  • Manage orders for school materials, including poster paper, ink, and other supplies.
  • Coordinate with vendors to ensure timely and accurate delivery.
  • Manage the supply closet and inventory, ensuring adequate stock levels.

Event Management:

  • Set up community meetings and events, ensuring all logistical requirements are met.
  • Collaborate with various stakeholders to ensure successful event execution.
  • Support the Families Team with event deliverables as necessary.

Testing Coordination:

  • Coordinate the printing and distribution of exam materials.
  • Oversee the check-in and check-out process for exams.

What You'll Bring:

  • At least 2 years of proven experience in administrative or operations roles, preferably in an educational setting.
  • Strong organizational and multitasking skills with attention to detail.
  • Initiative and quick, efficient delivery of results.
  • Excellent communication and interpersonal abilities.
  • Fluent Spanish speaker.
  • Proficiency in IT troubleshooting and basic technical support.
  • High school diploma or equivalent; additional education or certifications in operations management or a related field is a plus.

Compensation:The pay rate, commensurate with experience, is $24.03 to $27.88 per hour paid bi-weekly. Eligible Forte Prep Academy employees are provided with a benefits package that includes medical, vision, and dental insurance, 403 B matching, parental leave, tuition reimbursement, a smartphone, and a laptop.

Schedule: Monday to Friday

COVID-19 considerations: Vaccines required; masks optional (if vaccinated).

Location: Elmhurst, NY 11373. Ability to reliably commute or relocate before starting work is required.
