Foster Garvey PC, is looking for a specialist to perform sophisticated searches in the firm’s database of clients and other parties, in support of the firm’s compliance with ethics rules governing lawyers. The specialist will collaborate with other members of the Conflicts Department as well as the firm’s General Counsel. This position will be located in our Seattle, Washington office.

SUMMARY:

Under limited supervision, the Conflicts/New Business Intake Specialist plays an important role in the firm’s new business intake process by performing sophisticated conflict check searches on new engagements as well as performing related tasks. The Conflicts Specialist’s accurate and efficient performance assists the attorneys in complying with the firm’s New Business Intake Policy as well as the Rules of Professional Conduct. This position reports to the Conflicts & New Business Intake Manager and supports the other members of the Conflicts Department, the General Counsel, and, indirectly, the attorneys and legal practice assistants in all firm offices.

After the first 90 days, which requires 5 days a week in the office, the employee is eligible to work in a hybrid environment and must be in the office at least three days a week.

RESPONSIBILITIES:

The Conflicts/New Business Intake Specialist’s responsibilities include, but are not limited to, the following:

• Using specialized software, structures sophisticated searches in the firm’s conflicts database, applies judgment in order to filter out irrelevant hits, and produces accurate conflict reports for attorney review

• Assign new client/matter numbers. Reviews submitted information for consistency with firm standards and discrepancies as part of client/matter number provisioning

• Perform data entry and maintenance as needed in conflicts database and accounting system.

• Perform data reconciliation projects in conflicts database as needed

• File emails, engagement documentation, waivers, and other documents in the firm’s conflicts database and records management database

• Conduct Internet and database research to flesh out information provided in conflict check requests; includes research on business entities, corporate structures, and past conflict requests

• Assist, as needed, in troubleshooting issues in the intake workflow and advancing intake requests

• Assist with conflicts searches for lateral hires and RFP responses

• Support the Conflicts & New Business Intake Manager and back-up other team members in their various responsibilities, which may include preparation of new client research profiles, setting up ethical walls, or maintaining the Conflicts Department intranet

• Learn policies, procedures, and technology used by the docketing team in order to provide back-up support to the docketing team as occasionally needed

• Perform other tasks or special projects to support the firm’s intake of new business, the operations of the Conflicts Department, and the General Counsel

• Exhibit punctual and reliable attendance

QUALIFICATIONS AND EXPERIENCE:

•Demonstrated reading comprehension, critical thinking, and research skills

• Ability to learn Boolean search logic techniques and concepts necessary for a sophisticated conflicts search

• Ability to learn ethics and risk concepts as well as departmental policies and procedures and apply to daily tasks

• Prior work experience in a law firm or law department preferred

• Prior experience utilizing automated workflow systems preferred

• Ability to appropriately apply or adapt knowledge learned in one context to similar situations

• Inquisitive and curious about variances or discrepancies in information

• Comfortable working in a queue-based system

• Familiarity with research tools

• Strong organizational skills with meticulous attention to detail

• Ability to multitask, prioritize, and work under pressure to meet deadlines in a fast-paced environment

• Professional demeanor with excellent interpersonal and customer service skills

• Ability to communicate effectively, both verbally and in written form, throughout the organization

• Thorough command of the English language, including excellent spelling, grammar, punctuation, form, and style

• Self-starter and able to work independently

• Proficiency in Microsoft Office suite

• Bachelor’s degree

JOB CONDITIONS:

The Conflicts/New Business Intake Specialist works in an office environment under artificial lighting with exposure to moderate noise. Work hours are expected to conform to the core business hours of the firm. Employee must be flexible when scheduling daily breaks and lunch periods to accommodate the demands of the situation at hand or when critical deadlines must be met. Although rare, this position must generally be available to work additional hours as requested by the General Counsel, may include weekends and/or holidays when necessary.

PHYSICAL REQUIREMENTS:

Physical requirements for this position generally include, but are not limited to, the following:

• Frequent use of a computer (most of each day), telephone, and other standard office equipment

• Keyboarding (a high volume of data entry is normal)

• Prolonged periods of sitting

• Must be able to look at a computer screen for extended periods of time

• Intensive reading of small or fine print

Salary Range

The pay range for this position is $52,000-$70,000 annually; however, actual pay may vary depending on the candidate’s education, training, location of position, experience and other job-related factors permitted by law.
