Fountaindale Public Library is Hiring a HUMAN RESOURCES SPECIALIST (PART TIME) Near Bolingbrook, IL

Description

Part-time position: Non-exempt position, 19 - 25 hours per week. 

Starting salary: $20.59/hour

Benefits: 8 holidays per year plus additional paid time off.

Closing date: Until position is filled

DUTIES

  • Responsible for preparing payroll and maintaining the integrity and accuracy of the payroll system. Notifies department managers and supervisory staff of discrepancies. Acts as the contact for the District’s payroll provider.
  • Performs audits and reconciles paid time off benefit accruals.
  • Tracks and records time taken by employees for leaves approved under the Family and Medical Leave Act (FMLA).
  • Organizes and conducts new hire orientations and payroll training for all staff.
  • Sets up, updates, and maintains all personnel and benefit files ensuring accuracy and confidentiality. Assures compliance with District standards, and State and Federal government regulations. Files government reports as scheduled.
  • Coordinates and assists with recruiting by updating required staffing reports, posting open positions online, scheduling candidate interviews, and reserving rooms for interviews.
  • Assists with annual benefit renewals. Verifies and updates payroll deductions as needed.
  • Coordinates and processes resignations and retirements; handles necessary reporting to government agencies, pension funds, and benefit vendors. 
  • Answers employee requests and questions regarding policies, procedures, and benefits. Refers complex issues to the Human Resources Manager.
  • Assists in maintaining Staff Intranet. 
  • Assists Human Resources Manager with special projects as assigned.
  • Creates new hire packets for orientation. 
  • Compiles and distributes an electronic monthly Staff Newsletter.
  • Updates phone list/company directory in multiple formats and posts monthly for staff.
  • Creates a monthly Spanish Translating calendar.
  • Performs clerical functions as necessary.
  • Provides back-up of selected tasks when the Executive Assistant is unavailable.
  • Performs other duties as assigned, which may include confidential and non-routine information.

Requirements

Education: Requires expertise typically acquired through completion of an Associate's Degree or a minimum of two years completed in a higher education program.

Experience: Minimum of one year experience in payroll. At least one year of related experience in a comparable business or library is preferred. Prior knowledge of principles and practices of human resources is desirable.

Skills:

  • Must demonstrate good attention to detail.
  • Ability to exercise reasonable and independent judgment and discretion.
  • Ability to manage and prioritize multiple tasks.
  • Ability to adapt to change.
  • Knowledge of productivity suites.

Communication

  • Communicates effectively in English, both orally and in writing.
  • Speaking skills in other languages, particularly Spanish, is a plus.
  • Ability to handle confidential personnel information.
  • Ability to establish and maintain effective working relationships with staff and public.
  • Ability to empathize and relate to the needs of all staff.
  • Ability to stay calm and effective in difficult situations.

None.

PHYSICAL REQUIREMENTS:

The physical requirements described here are representative of those that must be met by an employee to successfully perform the functions of this job.

Physical requirements include: good speaking, hearing and vision ability, excellent manual dexterity, ability to lift and carry up to 10 pounds occasionally.

WORKING CONDITIONS:

Work is performed in a typical office environment. Part-time position. May require some weekend and evening work.
