The Four Seasons Hotel New York Downtown is looking for a Sales and Catering Coordinator who fully embodies our values, shares a passion for excellence, and infuses enthusiasm into everything they do. As Sales and Catering Coordinator, you will be accountable for shaping the client experience by providing exceptional service in support of our world-renowned hotel. This position reports to the Director of Marketing and Director of Sales.

BASIC PURPOSE: The Sales Administrative Assistant supports the Sales Managers and Director(s) while being familiar with all aspects of the sales and marketing process. Assist in the organizing of social events and act as a liaison with the hotel’s Department and Division Heads in planning internal Four Seasons meetings.

ESSENTIAL FUNCTIONS:

  • Receive and respond to incoming telephone calls in accordance with Four Seasons Standards.
  • The ability to trace reservations and amenities.
  • The ability to create and kill files for all groups.
  • The ability to run all required reports from the computer.
  • The ability to type, input and complete other project work.
  • The ability to generate weekly, monthly and quarterly sales reports from Delphi.
  • The ability to fax and copy materials for sales personnel.
  • The ability to distribute mail daily.
  • The ability to create and maintain the reader files for each Sales Manager.
  • The ability to attend and participate in required meetings.
  • The ability to order all office supplies on a weekly basis for the office.
  • The ability to participate in the month end report.
  • The ability to complete all reports on a timely and accurate basis.
  • The ability to greet sales and/or sales clients and give them tours if necessary.
  • The ability to handle contracts and inquiries, both for tentative and definite groups.
  • The ability to take individual reservations.
  • The ability to produce meeting packets.
  • The ability to order reservation cards.
  • The ability to complete and process properly purchase orders.
  • The ability to perform other tasks or projects as assigned by hotel management.
  • Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Planning Committee.
  • Respond according to the crisis management plan to any resort emergency or safety situation. 
  • Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.
  • Periodically assist with front of house operations including greeting and directing guests, manning hospitality desks, and working with Banquets on ‘quick sets’ or teardowns.
  • Perform other tasks or projects as assigned by hotel management. 
  • Maintain an inventory of all standard department supplies and printed materials.
  • In the absence of a Sales Manager, assist clients and seek out solutions to requests in a friendly, caring and helpful manner.
  • Perform all tasks in the absence of the Conference Services Assistant.
  • Participate in scheduled departmental and administrative meetings as requested.
  • Process all group turn-overs: making new group file, sending introduction letter to group contact, creating group rate code, verify cut-off date, send cut-off date reminders, and verifying room block and rate information from booking recap, hard block suites or special room requests and clean up old rate codes.
  • Communicate all group activity – pickup, attrition and contractual guidelines to Group Contacts, Conference Service Managers and Sales Managers.
  • Run daily reports: Daily Transaction Report from Delphi, Delphi Booking Recaps, Group Cut-off Report, and Group No Shows; process rooming list within 48 hours of receipt and providing group contact and Conference Service Manager with room block report and rooming list with confirmation numbers.
  • Provide Accounting with each groups’ rooming list from Group Contact and pickup and/or attrition.
  • Communicate all group activity to Reservations Manager to assist in making yield decisions; maintain Delphi system through weekly entry of group pickup for current month and next two months.
  • Provide reservations and Front Desk Staff with list of Call-In and Form groups, ensuring rate information, advance deposit, and cancellation policy is setup for quoting to guests as well as group confirmation letters; provide Conference Service Manager of any Special Attention, VIP information. i.e. arrival/departure manifest, billing.
  • Prepare and host weekly group block meetings.
  • Perform monthly audits to ensure all information is accurate.
  • Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Executive Committee.
  • Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.
  • Perform administrative duties such as managing account database (Vision), email, copying, faxing
  • Catering/Conference Support - Coordinate and assist with customer events.
  • Customer Communication – Assist with responding to general inquiries and client requests
  • Communicate with customers, on-property hotel managers, staff, and corporate office on a regular basis.
  • Assist clients in the absence of the Sales Managers or Regional Director of Sales.
  • Work harmoniously and professionally with co-workers and supervisors.
  • Adhere to meal break policy and proper payroll procedures.
  • Schedule flexibility to work evenings and weekends as business levels dictate
  • Will maintain Golden Sales & Catering Platform for the Department including sales production reports and all other reporting required by DOM

QUALIFICATIONS AND SKILLS

  • We are looking for individuals who have a minimum of 1-3 years’ experience in a similar position and has strong people skills. Computer knowledge and social media expertise ideal.
  • College education preferred
  • Ability to read, speak and write English is required.
  • Prior New York experience is preferred.
