I. General Description and Qualifications
A. The Administrative Secretary at the Lower School supports and advances the mission of FCS by providing administrative support to the principal and performing a variety of office duties; this position is responsible directly to the principal.
B. The Administrative Secretary at the Lower School should have the following qualifications:
1. Committed Christian with a close personal walk with the Lord, maintained through personal routines (such as prayer and reading the Bible) and in the school setting (through regular participation in Prayer and Share devotional times and other spiritual development)
2. Possesses Christian character qualities to serve as a role model for young people and readiness to share faith in Christ with students as part of our school's mission
3. Regular attendance at an evangelical Protestant church
4. Commitment to a biblical lifestyle, not promoting or engaging in premarital, extramarital, transgender, or homosexual behavior
5. If married, a strong marital commitment based on Mark 10:9 and positive marital relationship
6. Strong commitment to Christian education
7. A variety of computer and clerical skills; excellent written and oral communication ability
8. Warmth, friendliness; an ability to work well with a wide variety of people; ability to calmly handle many interruptions and multi-task
9. Highly organized and efficient
10. Ability to maintain confidentiality
11. Teachable, servant spirit
Requirements
II. Responsibilities of the Administrative Secretary at the Lower School may include:
A. Provides administrative support to the principal
B. Controls access to the office and school building through the use of cameras and remote door locks
C. Provides support for arrival and dismissal, including oversight of SafeDismissal pick-up data including entering new students, daily student exceptions and printing car signs
D. Enters student tardy information, run daily attendance reports and distribute to staff as needed
E. Greets and assists students, staff, and visitors; is a source of information for those seeking assistance
F. Answers incoming calls from families and helps to meet their needs or connects them with the appropriate staff member
G. Distributes messages to staff and students in a timely manner including maintaining end-of-day messages to students and teachers for transportation changes, etc.
H. Checks visitors in and out using the Raptor Visitor Management System
I. Works closely with other departments (clinic, business office, technology, maintenance, security, etc.) to serve the needs of students, school families, and staff
J. Manages and disseminates communication to school families and staff through weekly parent emails, announcements, Family Portal, and hallway slideshows; maintains Resource Documents in the Family Portal
K. Maintains and exports class/student/staff lists and other reports from the school database (allowable pick up, extended care, homeroom, birthday, attendance, etc) for teachers, office and business office
L. Processes and proofs report cards and performs the database tasks necessary for exporting and reporting, including honor roll
M. Assists with student scheduling and schedule changes
N. Perform mail merge operations for resource center billing invoices
O. Maintains cumulative records of students and responds to record requests; creates and audits a cumulative record for new students, ensures that all necessary documentation is obtained and kept up to date; ensures files for withdrawn students and graduates are archived
P. Assists with coordination of special events such as Teacher Work Week, Orientation, Back to School Night, Grandparents' Day, etc.
Q. Coordinates school pictures and schedules dates individual pictures (fall), and group pictures (spring); secures parent volunteers to assist
R. Processes requisitions and orders in coordination with the business office to include web purchasing, online account orders, purchase orders, and check/credit card request; receives orders in web purchasing database
S. Places orders for office supplies when needed
T. Submits work orders
U. Maintains and updates student/family handbooks; maintains accurate computer files of all handbooks
V. Reviews and approves timesheets for campus staff
