  • Achieves seamless functionality of HQ office by overseeing all aspects and serving as the primary source for multidimensional company-wide support, ensuring a professional, high performing, and welcoming environment for both employees and guests.
  • Provides comprehensive support for internal team, effectively fostering a cohesive, motivated and adept workplace.
  • Develops, implements, and maintains operational systems that enhance organizational efficiency and quality of output.
  • Successfully leads and comprehensively manages projects and events from conception through cleanup, ensuring all logistical needs are met and established goals are exceeded.
Role ResponsibilitiesHQ Office Operation
  • Full ownership and management of entire HQ office and all related implications. This includes, but is not limited to:
    • All maintenance and upkeep.
    • Security monitoring
    • Supplies ordering
    • Preparing for in-office gatherings and events
    • Hosting overnight guests
  • All printing and shipping including bulk requests
  • Assembling and shipping packets for new clients
  • Tracks & monitors all expenditures and purchase requests
  • Maintains a positive environment and acts as the central support figure of the office
  • Basic technological troubleshooting and support:
    • Acts as the primary local point of contact for resolving minor tech issues, using a solutions-oriented approach to independently test and troubleshoot common problems such as connectivity issues and system glitches.
    • Demonstrates the ability to assist colleagues who possess varying degrees of technological literacy, ensuring they can effectively use rudimentary office equipment.
    • Communicates effectively with the remote technology support team, detailing problems, steps taken toward resolution, and follows their directives serving as the hands-on facilitator to implement solutions on-site.
Internal Team Dynamics & Support
  • Supports our internal team with requests which includes, but is not limited to, assistance with:
    • Travel arrangements and accommodations
    • Meal coordination for gatherings and events
    • Purchase requests
  • Performs administrative tasks for onboarding new team members
  • Helps develop and implement culture & team dynamics initiatives
  • Plans and executes team-building activities and internally recognizes team and company milestones
  • Moderates meetings and manages the internal distribution of information regarding meetings, events, and other dates that have a companywide effect
Process & System Development and Project Management
  • Develops and implements operational systems and processes related to role
  • Creates standards and protocols that ensure consistency, efficiency, and high-quality outputs
  • Ensures proper documentation of policies and operational protocols
  • Contributes to broader operational processes and efficiency projects
  • Supports company wide project management activities. This includes, but is not limited to:
    • Conducting routine follow-ups and check-ins with all project owners
    • Monitoring project timelines, assessing risks of delays, and updating project statuses
    • Validating project links & confirming documentation compliance
    • Keeping all stakeholders informed about project progress
    • Assisting with other project management related tasks
Event Coordination & Ownership
  • Comprehensive event management for HQ office events:
    • Designs detailed event plans covering all logistical aspects, including timeline, guest list, seating arrangements, and event flow.
    • Plans and provides meals and snacks tailored to the preferences and dietary requirements of attendees.
    • Prepares all event materials in advance and anticipates potential needs by securing backup materials and supplies for any unforeseen requirements.
    • Conducts the setup of rooms, runs tests on necessary equipment, and makes needed adjustments to ensure readiness.
    • Remains present and available throughout the event to address any immediate needs, troubleshoot issues, and provide support to guests and speakers.
    • Manages the post-event breakdown and cleanup, restoring the office space to its optimal condition and organizing debrief sessions to gather feedback and improve future events.
  • Full ownership and management of the quarterly conference event project portfolio:
    • Plans the quarterly conference events and serves as event coordinator
    • Plays an active role on project and task execution while managing overall timelines
    • Develops and monitors the event budget ensuring all expenditures are logged and tracked
    • Manages requests to the venue, exploring cost-effective alternatives that best meet the team's needs.
    • Collaborates with the venue to assign spaces, confirm setups, and adjust diagrams as needed.
    • Provides detailed specifications and requirements for each designated area within the venue
    • Facilitate the seamless transfer of logistical details and timing schedules from the venue to the internal team, ensuring all involved parties have the necessary information to execute their roles effectively.
Skills Required
  • Ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines.
  • Familiarity with project management tools and methodologies.
  • Capable of adjusting to changing priorities and managing multiple tasks effectively under pressure.
  • Ability to lead initiatives, work collaboratively with stakeholders, and support team needs effectively.

Compensation
  • Full-Time Position with Competitive salary based on experience
  • Opportunity for bonuses based on performance
Time Availability
  • Expected in-office typically Monday - Friday, from 9:00 AM to 5:00 PM in a predominantly solitary office setting due to a remote-working team.
  • Some flexibility in schedule as required by operational needs.
  • Limited remote work options available, contingent upon specific project needs and milestones.
  • Required to participate and engage in virtual meetings, coordinating with a primarily remote team.
  • May require extended hours, including occasional weekends, especially during peak periods or to meet critical deadlines.
  • Occasional local travel may be necessary for onsite project support and operational tasks.
