Job Description – Advancement Associate
Part-time position -- 20 hours per week initially with the potential to transition to full-time. Monday through Friday although may vary depending upon schedule and staffing, which may include day, evening, night and weekend hours.

Position Summary

The Advancement Associate will perform administrative, development, program, communication and account management duties in partnership with the Executive Director, Associate Director and Program Director. Position benefits include a flexible schedule and paid vacation.

Education and Experience

A 2- or 4-year post-secondary degree is preferred in the area of business/marketing; or three years related experience and/or training; or equivalent combination of education and experience.

Qualified Candidates will be detail-oriented and self-directed, have strong organizational and time-management skills, be a team-player, and have a passion for community.

Qualifications

To perform this job successfully, an individual must be a minimum of 18 years of age and must be able to perform each essential duty satisfactorily. Essential Duties and Responsibilities include, but are not limited to, the following:

Development

· Provide administrative support for Sustaining Drive (mailing, tracking and reporting)

· Ensure donors are listed and recognized correctly in correspondence and publications

· Process gifts to affiliate funds and generate acknowledgement letters

Gift Entry

· Process gifts through database system

· Manage database updates

· Deliver deposits to banks

· Produce thank you letters

Marketing

· Work with ED and graphic designer to coordinate printing, mailing and delivery of finished materials

· Compile donor lists and grant lists

· Assist with the promotion and execution of Foundation initiatives, e.g. Youth Philanthropy Grants and Nonprofit Leadership Program

Event Management (Annual Dinner, Scholarship Luncheon, Nonprofit Trainings, etc.)

· Create invitations (print or online) and other materials, as needed

· Provide administrative support for the event (mailing invitations, tracking RSVPs, preparing table assignments, etc.)

· Provide check-in and other support at events

Fremont Area Big Give

· Assist Program Director (PD) with preparation and execution of the Foundation’s Fremont Area Big Give event, including the current GiveGab online platform and communications, registration and training for the participating nonprofits

· Assist PD with the creation of graphics and promotional materials

· Assist PD with the reconciliation process

Social Media Management

· Assist PD with execution of social media strategy

Website Management

· Assist with website updates, e.g. new pages, forms, news feed items, etc.

· Upload documents to board and committee portals on the website, as needed

· Create landing pages for fiscal sponsors, as needed

Administrative

· Administrative support and scheduling

· Provide meeting minutes

· General office support

In addition, the Advancement Associate will perform other duties as assigned, such as attending meetings and taking minutes.

Other Necessary Qualifications and Requirements of Employment

Language Skills

Must be able to read, write, speak and understand the language of the majority cultural group in order to communicate effectively in both individual and group settings. Must be able to hear enough to understand all interactions. Ability to read, interpret, and comprehend documents such as flow sheets, financials, general professional articles and publications, governmental regulations, safety rules, assignment sheets, and procedure manuals. Must be able to write reports, business correspondence, policies and procedures, and other

administrative forms as outlined above. Must be able to present information and respond to questions from individuals and/or groups including employees, managers, and the general public.

Mathematical Skills

In order to perform gift entry and reporting duties, must be able to;

· Add, subtract, multiply, and divide all units of measure such as whole numbers, fractions, percentages, and fractions.

· Compute rate, discounts, ratios, and percent, and

· Make, read and interpret financials, graphs, rates, ratios, and percentages.

Computer Skills

· Strong computer skills; proficiency in using word processing, Excel spreadsheets, database and web resources with the ability to learn software.

· Experience with CRM database or other relational database is preferred.

Other Skills and Abilities

· Good organizational skills with ability to prioritize multiple tasks and deal with frequent interruptions.

· Basic office skills such as phone skills, voice mail, copying, faxing, typing, and directing visitors.

· Ability to function independently given assigned duties.

· Ability to communicate, work, and interact with a variety of individuals.

· Ability to apply common sense and judgment in solving problems and interpreting and understanding instructions furnished in written or oral form.

· Must be able to make independent decisions when circumstances warrant such action yet reason when to involve the Executive Director.

The employee is occasionally required to push/pull; climb; walk; stand; and balance. The employee is rarely required to smell and/or taste. The employee must frequently lift/carry/move up to 15 pounds and occasionally up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles and to warm and/or humid conditions.
