Job Description : As an Entry Level Personal Assistant at Promotion PIA, you will provide essential support to our executives, ensuring their schedules run smoothly and efficiently.

This role is ideal for a highly organized individual who can handle a variety of tasks and thrives in a dynamic environment.

Key Responsibilities

• Schedule Management : Manage and coordinate the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Correspondence : Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely responses and follow-ups.
• Administrative Support : Assist with day-to-day administrative tasks such as preparing documents, organizing files, and managing office supplies.
• Meeting Preparation : Prepare agendas, take meeting minutes, and ensure all necessary materials are available for meetings and presentations.
• Personal Tasks : Assist with personal errands and tasks for the executive, ensuring their personal needs are met efficiently.

Skills, Knowledge and Expertise

• High school diploma or equivalent; additional education or training in office administration or related field is a plus.
• Proven experience in an administrative or personal assistant role is preferred.
• Strong organizational and multitasking skills.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to handle sensitive information with discretion and confidentiality.
• Detail-oriented and proactive in anticipating needs.
